Job description

SUMMARY

Serves as the central coordination point for all general office and administrative functions supporting the Division of Logistics & Commuter Services (DLCS) warehouse and logistics services contract. Key responsibilities include managing day-to-day office operations, including maintaining calendars, coordinating workflows and meetings, handling correspondence, and performing general clerical duties, while ensuring the confidentiality of all customer, staff, and agency information. When called upon, can serve in Project Manager’s stead for short periods.

ESSENTIAL DUTIES & RESPONSIBILITIES
  • Create and modify documents and reports using Microsoft Office.
  • Compile data for meetings and presentations.
  • Record meeting minutes.
  • Provide project-based support to staff and customers.
  • Monitor and maintain warehouse software systems and supports multiple functional teams, including assisting the Property Team with Government and Contract property actions and inventory management.
  • Support the Fleet Program Manager with Fleet related tasks.
  • Coordinate with the Freight Services Coordinator on freight shipment preparation and pickup.
  • Support the Event Services Team with event schedule, setup and breakdown.
  • Assist with shredding in accordance with agency guidelines.
  • Assist the Project Manager in the management of the day to day operations of the warehouse staff and office.
  • Maintain calendars, coordinate meetings and handle correspondence via phone and email.
  • Serve as Project Manager for short periods of time in Project Manager’s absence.
  • Maintain regular and punctual attendance.
  • Perform other duties as assigned.
SUPERVISORY RESPONSIBILITIES

May be asked to assist the Project Manager in the supervision of warehouse staff and serve for a short period as the Project Manager in their absence.

MINIMUM QUALIFICATIONS
  • Minimum of five to eight years experience in an office and warehouse environment.
  • Ability to lead, guide, and mentor staff when needed.
  • Strong clerical, administrative, and organizational capabilities.
  • Proficiency in operating within the Microsoft Office environment, familiarity with Microsoft messaging and collaboration software, and highly functioning in Microsoft Office applications, including Word, Outlook, Excel, and PowerPoint, and internet management tools to enable the employee to produce multiple administrative/clerical products as requested.
  • Familiarity with or ability to learn/use other technology management tools employed in the work environment.
  • Excellent responsiveness and customer service skills.
  • Ability to perform in a fast-paced, high visibility environment with relative autonomy.
  • Ability to manage work environment and workload with minimum supervision, based on knowledge of work priorities.
  • Ability to set and achieve goals, working successfully as an individual contributor or as part of a team.
  • Ability to work well under pressure and within established guidelines.
  • Ability to develop high quality work products, to include proper grammar, spelling, and punctuation.
  • Compliance with site specific safety and security requirements, including badging and office protocols.
  • Must obtain and maintain any necessary security access and/or background checks.
  • Must be able to pass a drug test prior to starting.
DESIRED QUALIFICATIONS & SKILLS
  • Office Management experience assisting and sometimes supervising up to 15 employees in a warehouse environment.
WORK SCHEDULE

40 hours per week. May be required to work additional hours as needed to complete assignment or project.

TRAVEL

Less than 25%.

DRIVING REQUIREMENT

Must have or be able to attain a valid state driver’s license and be insurable on the company’s automobile insurance policy. Driving, with or without accommodation, may be required when traveling for training and/or short occasional amounts of local driving. The expected driving time is less than 25%.

WORK ENVIRONMENT

Work is primarily performed in an office environment which is located in a warehouse with a loading dock. The warehouse area includes concrete flooring and may be drafty, noisy, dusty, and subject to varying temperatures. Employees operate warehouse equipment, hand and power tools, and powered material-handling equipment, including forklifts, pallet jacks, balers, wrappers, and similar machinery.

PHYSICAL DEMANDS

Position consists of sitting for long periods of time, bending, stooping, crouching, and lifting weights up to 20 pounds. Frequently uses hands/fingers for manipulation of keyboard and mouse. Seeing up close, must not be color blind. COMPENSATION & BENEFITS
  • Pay:$36.47 per hour
  • Health & Welfare Fringe: $5.09 per hour up to 40 hours per week
