Harris County District Attorney's Office seeks an Administrative Assistant for the Appellate Division to provide comprehensive administrative and legal support. Qualifications

Responsibilities

  • Receive and organize electronic case files and save to the correct folders.
  • Maintain tickler files to monitor deadlines and document progress.
  • Update the Appellate Division database with oral arguments and opinions.
  • Serve as primary contact for callers and visitors.
  • Coordinate calendars and meetings for the division.

Job description

General Summary

The Administrative Assistant assigned to the Appellate Division reports to one Bureau Chief and one Division Chief provides administrative support to thirteen appellate prosecutors and assists one intern. This position performs a wide range of administrative and legal support duties including serving as a receptionist preparing and formatting legal documents managing correspondence maintaining clerical and electronic filing systems and providing general administrative support. The Administrative Assistant is responsible for maintaining accurate records including electronic files related to direct appeals and ensuring the timely receipt distribution and tracking of correspondence court opinions and other case related materials. When needed the Administrative Assistant assigned to the Appellate Division provides telephone coverage for the Post Conviction Writs PCW Divisions. Administrative Assistant. This position is also responsible for maintaining office supply inventory coordinating office supply orders office equipment and arranging service when necessary.

Duties & Responsibilities
  • Receive electronic case files and save them to the appropriate K Drive folders
  • Create and maintain tickler files to monitor deadlines and ensure timely completion of required documents
  • Download upload organize and maintain records within the Appellate Division folders and the HCDAO main page
  • Update and maintain the Appellate Division database including oral arguments opinions hand downs and mandates
  • Serve as the primary point of contact for incoming telephone calls and visitors
  • Research and review a high volume of filing notices to identify potential appellate files
  • Prepare and maintain daily and monthly reports to support division
  • Coordinate and maintain the divisions meeting calendar including scheduling meetings and providing administrative support for division activities

Hours

This is a full time in person position. Days and hours of work are typically Monday through Friday 8:00 am to 5:00 pm. Hours may vary based on the business needs of the department.
