Job summary

Narcotic Drug Treatment Center in Alaska seeks an Administrative Assistant to be the first point of contact for patients, staff, and visitors. You will support both administrative and medical teams in a fast-paced, confidential environment, handling check-ins, scheduling, billing, and records in compliance with HIPAA and 42 CFR.

Role includes assisting AR, processing Medicaid and third-party payments, and providing front-desk and clerical support while working a 40-hour week with Saturday shifts

Qualifications

  • Must pass a State of Alaska background check.
  • Ability to greet and assist patients with professionalism.
  • Proficient in HIPAA and confidentiality practices.
  • Experience with patient scheduling and billing workflows.

Responsibilities

  • Attend trainings and participate in office projects as required.

Role and Responsibilities

The Administrative Assistant will be the first point of contact for patients, staff, and visitors. This individual plays a vital role in maintaining clinic efficiency, ensuring compliance with regulations, and supporting both the administrative and medical teams in a fast-paced, confidential environment.

Supervisor: Program Operations Manager

Position Requirements
  1. Greet and check-in patients with professionalism and empathy.
  2. Answer and direct phone calls, check voicemails daily, check emails regularly throughout shifts, and respond to inquiries
  3. Schedule and manage patient and provider’s appointments.
  4. Clerical Support.
  5. Accounts Receivable Support.
  6. Scanning patients charts and linking it to our Electronic Health Record (EHR) t software.
  7. Maintain patient files and clinic records in accordance with HIPAA and 42 C.F.R
  8. Uphold strict confidentiality and professionalism at all times.
  9. Assist Accounts Receivables Manager in conducting financial review of new patients. Collect required documentation and verification.
  10. Assist in generating all patient self-pay, Medicaid, and other third-party billing using our Electronic Health Record (EHR) and Pro Health Billing software.
  11. Negotiate client payment contracts based on sliding fee scale.
  12. Assist in collecting cash payments, Medicaid and Third-party payment checks. Post to the software system.
  13. Assist in Medicaid, self-pay and third party payments.
  14. Assist patient with Medicaid travel vouchers, including completing forms and printing necessary documentation.
  15. Create new financial packet for enrollment.
Support
  1. Answer Office switchboard, direct calls to appropriate departments, check voicemails daily, maintain switchboard updates i.e., time, date, etc.
  2. Provide basic information regarding agency services to callers and visitors.
  3. Maintain visitor sign in sheets.
  4. Maintain structure of lobby bulletin board and general appearance of lobby.
  5. Manage and distribute mail.
  6. Manage and distribute emails.
  7. Assist administrative and medical team during intakes as needed.
  8. Support as necessary any projects needed throughout the office.
  9. Attend trainings as required.
  10. Operate Methasoft queue during dosing as needed.Other duties as assigned
Additional Information:
  • Must be able to pass a State of Alaska background check
  • Please note that this position requires Saturday work
  • Schedule: Monday-Friday: 5:00AM-1:00PM, with alternating Saturday shifts from 6:30AM-9:30AM. Saturday shifts are compensated at the applicable overtime rate.
  • Total Hours: 40 hours per week, except during weeks when you are scheduled to work an alternating Saturday shift.
