California State University, Long Beach (CSULB) is seeking an Administrative Analyst/Specialist Non-Exempt to oversee an office of about 64 academic employees, including 11 tenured/tenure‑track faculty, 4 FERP, 1 joint, 33 Lecturers, 28 Teaching Assistants, and 2 Graduate Assistants, plus supervising 1 full‑time staff.

The role provides policy guidance, maintains the department budget and records, and completes faculty and staff hiring, ensuring continuity in policy and procedure across the

Qualifications

• Advanced problem-solving and organizational skills are required for department administration.
• Managerial, supervisory, and interpersonal abilities are essential for daily delegation and staff supervision.
• Knowledge of budget, fiscal resources, allocations, and accountability is critical.
• Ability to develop and deliver information through written and oral communication, and collaborate across campus.

Responsibilities

• Understand, disseminate and implement procedures, policies, and practices.
• Budget and fiscal management: Manage general, continuing education, grant, and other fund budgets.
• Maintain files on current or former faculty, TAs, and staff; prepare documents to hire and separate personnel.
• Coordinate clerical functions, assign work, train staff, and manage workload against deadlines.
• Arrange events and prepare forms, brochures, and announcements.
• Maintain departmental records, processing, and reporting.
