Job summary

BlueLinx Corporation is seeking a Branch Admin Manager to lead administrative, accounting and inventory functions at a distribution facility. You will oversee invoicing, stock receiving, shipping, A/R/A/P, and time clock approvals while partnering with Sales, Operations, Finance and HR.

The role requires an associates in accounting, strong finance knowledge, inventory control experience, and the ability to coach a team.

Qualifications

  • Strong knowledge of finance and accounting transactions in a warehousing environment / distribution center.
  • Experience with inventory control, material handling, and storage in a building products distribution context.
  • Ability to multi-task and stay detail-oriented.
  • Strong problem solving, organization, time management and interpersonal skills.

Responsibilities

  • Manage administrative functions of a distribution center and ensure data integrity and timely processing of transactions.
  • Collaborate with Sales and Operations leadership to support business objectives and customer service.
  • Process sales orders, credit memos, PO transactions, and A/R tasks with accuracy and timeliness.
  • Oversee inventory data accuracy from receiving to cycle counts and adjustments in the system.
  • Partner with Credit and A/R for new accounts and past due management; ensure A/P reconciliation and timely invoicing.
  • Coordinate onboarding, time approvals, and act as central communications contact for the branch.
  • Work with branch sales to ensure orders are processed and released; review stock and reports for accuracy.

Position Overview

The Branch Admin Manager is a key leadership role that reports to the Branch General Manager. The Branch Admin Mgr. manages and performs administrative, accounting and inventory functions at a distribution facility. The Branch Admin Manager is responsible for: invoicing, stock receiving, shipping, accounts payable / receivable, and time clock approval. The Branch Admin Mgr works closely with the Sales and Operations leadership, Corporate Finance & Accounting, HR, customers, vendors, and other support personnel to ensure process integrity and superior customer service.

What You’ll Do
  • Manages the administrative functions of a distribution center by providing excellent customer service, ensuring data integrity and timely processing of transactions.
  • Collaborate with and foster a good working relationship with Sales and Operations teams.
  • Timely and accurate processing of sales orders, credit memos, PO transactions utilizing relevant resources in A/R as needed.
  • Inventory – accuracy of inventory related data in Agility from receiving to cycle counts to inventory adjustments.
  • Accounts Receivable – Partner with Credit and A/R for setup of new accounts and managing past due accounts.
  • Accounts Payable – Ensure adherence to expense Chart of Authority, timely completion of A/P reconciliation, daily invoicing for warehouse inventory and direct billing.
  • Associate onboarding, time approval, and central point of contact for communications.
  • Works with branch sales team to ensure orders are processed and released.
  • Reviews all stock received, purchase orders and computer reports for accuracy.
  • Coordinates with Operations management on all rail and truck shipments.
  • Leads team; selects/hires; develops objectives; coaches and evaluates performance.
  • Ensures direct reports obtain applicable training and development opportunities to enhance performance, development, and contributions to the company.
  • Holds direct reports accountable for individual and team performance.
  • Addresses performance issues appropriately and timely
What We’re Looking For
  • May manage a small group of employees directly and/or has significant indirect responsibilities in getting work done through others
  • Decision-making is subject to broad practices and procedures covered by some functional precedents, policies, and professional standards
  • Contributes to development of an operating plan and budget. May manage parts of budget
  • Problems are complex and solutions require detail analysis and extensive investigation
  • Ability to build consensus and be appropriately diplomatic, understands others’ roles and perspectives, can sell projects and ideas externally and across the organization. Influences others by presenting a strong case. Builds cross-functional relationships to build consensus and create results
  • Associates degree in Accounting or related field. BS / BA Degree in related field preferred
  • 6-8 years experience preferred
  • Strong knowledge of finance and accounting transactions in a warehousing environment / distribution center
  • Strong knowledge and experience in inventory control, material/stock handling/storage, and building products
  • Must be detail-oriented and have the ability to multi-task
  • Strong problem analysis/ resolution, organization, time management, communication and interpersonal skills
  • Prefer process improvement and operating efficiency knowledge
  • Proficiency using Microsoft Office Suite Software and relevant tools / technology
