Job summary

Natural Resources Assistant/Administrative Assistant II

Washington County, located in West Bend, Wisconsin has an excellent opportunity for an Administrative Assistant II. Under the general supervision of the Chief Land Use and Planning Officer, provides administrative and technical support, and performs difficult and responsible clerical work for and serves a critical customer service role for the office serving Washington County land resources and parks. This includes serving as primary support for the department's wedding and event spaces - The Barn at Sandy Knoll, Glacier Hills Hall & Chapel and The Barn at Homestead Hollow - and Camping Cabin program. The position provides front line support for Daily and Annual Park pass holders, pass compliance, and supports front line permitting for the shoreland zoning, POWTS, land division and land conservation.

Qualified Candidate must possess:
  • High School Diploma or GED,
  • One year of previous office experience to include basic knowledge of computers, experience using Microsoft Word and Excel, and basic cashiering and/or cash handling experience required.
  • Associate Degree in Business or related field with 1-2 years of experience preferred.

Position Summary:

Under the general supervision of the Chief Land Use and Planning Officer, provides administrative and technical support, and performs difficult and responsible clerical work for and serves a critical customer service role for the office serving Washington County land resources and parks. Duties/Responsibilities:

The following duties are normal for this position. These are not to be construed as exclusive or all-inclusive. Other duties may be required and assigned.

  • Performs general administrative secretarial work for the department, opens and closes the office M-F 8:00 a.m.-4:30 p.m.
  • Supports Land Use Manager, Land Use Inspectors, Water Resource Specialist and County Conservation Staff in the administration of permits.
  • Provides administrative support for the Private Onsite Wastewater Treatment System (POWTS) maintenance program.
  • Serves as the primary point of contact for Subdivision Land Division Permitting processes.
  • Prepares Land Use and Planning Committee agendas and committee reports for corresponding mangers.
  • Receives and dispenses information to the general public and other departments in response to telephone inquiries or personal visitations.
  • Processes Park permits and assists with implementation of the park pass collection process.
  • Composes routine correspondence as instructed.
  • Arranges for meetings and conferences.
  • Requisitions supplies, when necessary.
  • Prepares and types correspondence and other material on a variety of general and technical topics, including confidential material.
  • Prepares a variety of reports, upon request.
  • Performs data entry to the computer system including scanning and permit closures.
  • Participates in planning of various department programs, and provide administrative support to those programs.
    • Supports the wedding venue program; responds to inquiries of our venues and services promptly
    • Coordinates and gives tours, assists the Parks Business Services Coordinator with correspondence and bookings of venues and cabins
  • Performs miscellaneous administrative tasks, as required.
  • Performs other duties as assigned, including responding to an emergency event.
Work Direction Received:

Works under the general supervision of the Chief Land Use and Planning Officer. Program direction is provided by Land Use Manager, Parks Business Services Coordinator and County Conservationist.

Supervision Exercised: None.

Decision Making: Basic decisions concerning work priorities and other daily activities are made independently.

Interaction: There is interaction with other County Departments, other County employees, and others outside of the County structure.

Essential Knowledge and Abilities:

Knowledge of modern office practices and procedures, basic computer principles, business English, spelling and composition, operations of county government, and departmental programs, operations and policies. Ability to manage multiple projects at any one time and function in a multitask mode moving between projects and tasks with ease. Computer skills and knowledge of word processing, spread-sheets, database management, graphs, and charts. Ability to produce accurate documents, provide support for programs, communicate effectively orally and in writing, operate a variety of office equipment, and interact effectively with co-workers and other employees. Able to fulfill physical demands of job, sensory demands (seeing and hearing), and cognitive demands (concentration, conceptualization, memorization). Ability to learn and adapt to new technology, computer software and program upgrades. Knowledge of Microsoft Office Suite including Access.

Training and Experience:

High School Diploma or GED, one year of previous office experience to include basic knowledge of computers, experience using Microsoft Word and Excel, and basic cashiering and/or cash handling experience required. Associate Degree in Business or related field with 1-2 years of experience preferred.

HOURLY RATE RANGE: $21.40-$26.37
