CRAFT Printing is an innovative startup specializing in digitally printed aluminum beverage cans. We partner with a wide range of beverage brands to deliver high-quality, short-run can printing that enhances brand visibility and packaging flexibility. As we continue to grow, we are seeking a reliable and detail-oriented Administrative & Sales Support Coordinator to join our Portland-based team.

Position Overview

The Administrative & Sales Support Coordinator will serve a dual function, providing front office reception and administrative support, while also assisting the sales team with lead qualification and order processing for small and periodic accounts. This individual will play a key role in maintaining an organized and efficient office environment while ensuring a seamless experience for clients and internal stakeholders.

This is a full-time, in-office position with core working hours from 8:00 AM to 5:00 PM, Monday through Friday.

Key Responsibilities

Administrative & Front Office Support

  • Serve as the first point of contact for visitors, vendors, and incoming calls, delivering a professional and welcoming experience.
  • Provide day-to-day administrative assistance to internal teams and leadership.
  • Manage office supply inventory, including ordering, restocking, and vendor coordination to ensure uninterrupted office operations.
  • Oversee the cleanliness and organization of reception and shared office areas.
  • Assist with document preparation, data entry, scheduling, and general clerical duties as needed.
  • Monitor and respond to inbound inquiries from potential customers via phone, email, and online channels.
  • Conduct initial lead qualification based on established sales criteria and route qualified leads to the appropriate sales team member.
  • Enter and process orders for smaller or periodic tel-sell customers in the company’s CRM or order system.
  • Maintain accurate and up-to-date records of customer interactions, sales activity, and follow-ups.
  • Support the sales team with routine communications, quote preparation, and reporting tasks.

Internal Collaboration

  • Coordinate with operations, logistics, and customer service teams to ensure alignment on order details and customer expectations.
  • Assist in preparing sales and operational documents or presentations for internal use or client meetings.
  • Participate in cross-functional projects and administrative initiatives as directed by management.

Required Qualifications

  • Minimum of 2 years of experience in an administrative, office support, or sales support role.
  • Strong verbal and written communication skills with a customer-first mindset.
  • Proficiency in Microsoft Office Suite and Google Workspace; experience with CRM platforms (e.g., Salesforce, HubSpot) is a plus.
  • Highly organized with strong attention to detail and time management capabilities.
  • Ability to work independently, manage competing priorities, and adapt to a fast-paced startup environment.
  • Professional demeanor and a proactive, team-oriented attitude.
