Job Summary

The ADA Leave and Accommodation Management Specialist is a key member of the Leave of Absence (LOA) team, supporting approximately 50,000 employees across a large, multi-state healthcare organization. This role serves as the primary owner of workplace accommodation requests and is responsible for leading the interactive process under the Americans with Disabilities Act (ADA), the Pregnant Workers Fairness Act (PWFA), and applicable state laws. The Specialist helps ensure consistent, timely, and well-documented accommodation decisions while coordinating leave and accommodation programs, improving compliance, and supporting successful return‑to‑work outcomes. This position also partners with HR and operational leaders to standardize processes, provide training, and enhance the employee experience.

Key Responsibilities
  • Lead the end-to-end administration of workplace accommodation requests, including intake, case review, interactive process discussions, documentation, and resolution.
  • Evaluate and coordinate reasonable accommodations in partnership with employees, managers, HR Business Partners, healthcare providers, and operational leaders while ensuring compliance with federal and state requirements.
  • Manage accommodation cases that intersect with FMLA, state leave programs, short- and long-term disability, workers’ compensation, and return‑to‑work planning.
  • Maintain accurate and confidential case records, establish follow‑up controls, and monitor case progress to ensure timely resolution and defensible decision-making.
  • Partner with HR Business Partners, People Relations, and Employment Legal teams to address complex accommodation matters, support organizational acquisitions, and ensure consistency across locations.
  • Analyze case trends, recommend process improvements, develop standardized accommodation procedures, and provide training and guidance to HR and field leadership on accommodation‑related requirements and best practices.
Qualifications
  • Three or more years of experience managing ADA accommodations, leave of absence programs, or related employee case management.
  • Experience conducting and documenting the interactive process, including evaluating functional limitations, essential job functions, and potential accommodations.
  • Bachelor’s degree in Human Resources, Business, or a related field, or equivalent combination of education and experience.
  • Experience with state accommodation and leave laws across multiple states, including California FEHA, Oregon disability accommodation requirements, and Washington disability accommodation and discrimination requirements.
  • Experience supporting healthcare, senior living, post-acute care, or other multi‑site operational environments.
  • Experience with Workday Absence or other leave and accommodation case management systems.
Required Knowledge, Skills, and Abilities
  • Working knowledge of the Americans with Disabilities Act (ADA), ADA Amendments Act (ADAAA), Pregnant Workers Fairness Act (PWFA), Family and Medical Leave Act (FMLA), and related leave and accommodation practices.
  • Strong case management, documentation, and organizational skills.
  • Ability to exercise sound judgment and discretion when handling confidential medical information.
  • Effective verbal and written communication skills with employees, leaders, healthcare providers, and HR partners.
  • Ability to manage multiple cases simultaneously while maintaining quality, consistency, and compliance.
