ADA Compliance Specialist
Job Summary
The ADA Compliance Specialist serves as a subject‑matter expert onworkplace accommodations, accessibility, and compliance under TitleI of the Americans with Disabilities Act (ADA), the PregnantWorkers Fairness Act (PWFA), and Title VII religious‑accommodationrequirements. This role provides consultative guidance to employeesand supervisors, conducts individualized assessments, and ensuresthe University's accommodation processes are consistent, timely,and supportive.
A significant portion of this role involves high‑volume customerservice, including responding to calls and emails from employeesand managers seeking help understanding the University'saccommodation process or needing redirection to other programs suchas University leave programs and Disability Insurance.

Responsibilities
- Accommodation Coordination - Manage ADA, PWFA,and Title VII accommodation requests from intake throughresolution, including interactive process discussions,documentation review (ADA/PWFA), and assessment of sincerely heldreligious beliefs (Title VII).
- Employee Consultation - Provide high‑qualitycustomer service by responding to frequent calls and emails fromemployees seeking guidance on the accommodation process. Facilitatethe interactive process through written communication, phoneconsultations, and virtual or in‑person meetings, ensuringemployees understand their options and next steps. Redirectindividuals to other University programs as appropriate.
- Case Analysis - Conduct individualizedassessments, evaluate essential job functions, request and evaluatemedical documentation when appropriate, and prepare defensiblewritten analyses for ADA, PWFA, and Title VII cases. Utilizeinformation gathered throughout the interactive process to makeaccommodation determinations. Maintain strict confidentialitythroughout the interactive process and documentation review.
- Supervisor Consultation - Partner withsupervisors to conduct operational reviews that assess coverageneeds, workflow impacts, essential functions, and feasibility ofproposed accommodations. Provide clear guidance to help supervisorsunderstand their responsibilities under ADA, PWFA, and Title VII,including confidentiality requirements, documentation expectations,and the legal standards for undue hardship (ADA/PWFA) andsubstantial burden (Title VII). Support supervisors in implementingaccommodations appropriately and consistently.
- Documentation & Compliance - Maintainaccurate, defensible, and timely documentation in the University'scase-management system throughout all stages of ADA, PWFA, andTitle VII accommodation requests. Ensure case notes,communications, analysis, and determinations are updated live andreflect the full interactive process. Draft provider clarificationletters (ADA/PWFA), religious accommodation determinations (TitleVII), operational review questionnaires, and case summaries alignedwith federal regulations and University policy. Protectconfidentiality and ensure all case materials are stored andmanaged according to regulatory and University privacystandards.
- Job Reassignment Facilitation - Facilitate theUniversity's job reassignment process as an ADA/PWFA accommodationwhen appropriate, including explaining eligibility, coordinatingrequired documentation, consulting with hiring managers, guidingemployees through the vacancy search period, and communicatingoutcomes.
- Training & Education - Deliver training todepartments on ADA Title I, PWFA, Title VII religiousaccommodations, University request process, essential‑functionanalysis, and inclusive workplace practices.
- Process Improvement - Identify opportunitiesto streamline workflows, improve documentation, and strengthenconsistency across cases.
- Collaboration - Partner with HR teams, OEO/EO,Risk Management, and campus leadership to support accessibility andemployee wellbeing.
Minimum Qualifications
Compliance Specialist, II: Requires a bachelor's(or equivalency) + 4 years or a master's (or equivalency) + 2 yearsof directly related work experience.
- Demonstrated knowledge of ADA Title I, PWFA, and Title VIIreligious‑accommodation standards.
- Experience conducting interviews, assessments, or casemanagement.
- Strong writing skills with ability to produce clear, defensibledocumentation.
- Demonstrated ability to provide high‑volume, empatheticcustomer service.
EQUIVALENCY STATEMENT: 1 year of higher educationcan be substituted for 1 year of directly related work experience(Example: bachelor's degree = 4 years of directly related workexperience).
Preferences
- Experience in higher education or public‑sector HR.
- Familiarity with accommodation documentation,essential‑function analysis, and operational review.
- Ability to navigate complex, sensitive situations with empathyand professionalism.
- Bilingual English/Spanish communication skills.
