Job summary

Praesidium is seeking an Administrative Assistant to support accreditation programs and client communications. Reporting to the Senior Manager, you will coordinate day-to-day tasks, maintain tracking systems, and ensure timely execution of client initiatives.

This role requires strong organizational skills, proficiency with Microsoft Office and Zoom, and discretion with confidential information. You will also help with calendars, travel, expense reports, webinars, and professional correspondence.

Qualifications

  • 1+ years of experience as an Administrative Assistant or similar role.
  • Strong organizational and multitasking skills with ability to manage priorities.
  • Excellent written and verbal communication with solid email etiquette.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Experience scheduling and hosting meetings using Zoom or similar platforms.
  • Ability to handle sensitive information with discretion and maintain confidentiality.

Responsibilities

Responsibilities

Reporting to the Senior Manager of Accreditation, responsibilities include:

  • Coordinate day-to-day tasks related to client accreditation, programs, and special functions specific to the team.
  • Assist in maintaining organized tracking systems for accreditation progress, deadlines, and client communications.
  • Ensure seamless execution of client-related initiatives and activities.
Administrative Support:
  • Assist the team in managing multiple calendars and scheduling travel arrangements for team members.
  • Assist in organizing and scheduling webinars, interviews, off-site meetings, and other related events.
  • Take meeting notes and track action items to ensure follow-up and completion.
  • Assist team members in preparing and submitting expense reports while ensuring accuracy and compliance with company policies.
  • Manage office and operational supply needs and coordinate with vendors for timely delivery.
Correspondence and Report Preparation:
  • Prepare and format correspondence, reports, and documents for clients in a professional and timely manner.
  • Ensure accuracy and adherence to established formatting guidelines.
Client Inquiry Handling:
  • Answer general inquiries from clients and provide assistance in resolving issues or concerns.
  • Direct inquiries to the appropriate resources and ensure timely resolution.
  • Efficiently handle incoming calls, demonstrating a professional and courteous demeanor.
  • Direct calls to the appropriate team members or provide information as needed.
Requirements
  • 1+ years of experience as an Administrative Assistant or in a similar role.
  • Strong organizational and multitasking skills with the ability to manage multiple priorities.
  • Excellent written and verbal communication skills with strong email etiquette.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Experience using Excel for tracking data and organizing information.
  • Experience scheduling and hosting meetings using Zoom or similar platforms.
  • Strong attention to detail and commitment to accuracy.
  • Ability to handle sensitive and confidential information with discretion.
  • Experience managing calendars, travel booking, and expense reporting systems.
  • Positive attitude and a willingness to adapt to changing priorities.
  • Strong decision-making and problem-solving skills.
  • Ability to adapt quickly to changing priorities and organizational needs.
