Accounts Receivable Specialist

Work Hours: 8:00 AM - 5:00 PM EST

Pay Range: $1300 to $2200/mo (final offer depends on client approval and overall assessment of candidate's skills and experience)

Role Overview

We are seeking an experienced and highly dependable Accounts Receivable (AR) and Reconciliation Specialist.

This is a unique, personality-first role that requires a professional capable of managing AR accuracy while building positive, trusting relationships with our customers. The ideal candidate will be firm on outstanding balances yet empathetic and flexible on payment timing, particularly with our laid-back customer base in Hawaii.

Key Responsibilities

• AR Monitoring & Reconciliation: Continuously monitor the Accounts Receivable ledger using Shopmonkey (our primary POS/AR system) to ensure all accounts are accurate and up-to-date. Quality of reconciliation is paramount.
• Relationship-Based Collections: Manage low-pressure, relationship-focused collections. This involves:
  • Primary Method: Consistent and accurate email follow-ups.
  • Secondary Method: Targeted phone calls for specific customers requiring outreach.
  • Core Task: Building trust and maintaining a positive rapport with customers to secure timely payments.
• Proactive Oversight: Provide dependable, proactive oversight of the AR function addressing discrepancies and ensuring financial rigor that is currently lacking.
• Reporting: Work closely with the Hiring Manager and a part-time Accounting Manager, co-reporting to ensure AR clarity and addressing any reconciliation issues.
• Process Improvement: Operate with ambiguity, bringing a solid finance background to help streamline and professionalize the AR process.

Required Skills And Qualifications

• Experience: Proven experience in Accounts Receivable, collections, or a related finance/accounting role. Mid to Senior profiles are strongly preferred; we are not seeking entry-level candidates.
• Attention to Detail & Organization: Exceptional attention to detail is critical. Must be highly organized, vigilant, and capable of maintaining accuracy across records, follow-ups, and reconciliations.
• Communication & Personality: Exceptional English proficiency (written and verbal) is critical. Must possess a firm, professional, yet highly empathetic personality suitable for relationship-based collections.
• Technical Proficiency:
  • Solid working knowledge of Microsoft Excel is required, including: Basic formulas (e.g., SUM, VLOOKUP/XLOOKUP), Pivot tables
  • General data organization and cleanup
  • Familiarity with tools like Shopmonkey or similar POS/AR systems is a plus, but not required.
• Work Ethic: Reliable, focused, and able to execute repetitive tasks with consistency and accuracy. Must be comfortable working independently with minimal supervision.
• Availability: Must be willing to work and communicate effectively during US business hours.
