Position Overview

The Billing & Accounts Receivable (AR) Specialist is responsible for executing accurate client billing, managing payment applications, and performing collections follow-up. This role requires strong attention to detail, effective communication, and proficiency in Excel and accounting software. The ideal candidate will work closely with internal teams to ensure timely invoicing, maintain AR records, and support financial reporting and month-end close processes.

Key Responsibilities

• Prepare and distribute weekly and monthly client invoices based on project timelines and deliverables.
• Ensure billing accuracy by reviewing documentation and coordinating with project management and operational teams.
• Import and process invoice data in accounting and project management systems.
• Maintain organized records of billing data for audit support and internal reporting.
• Ensure all billable work is accurately captured and aligned with billing schedules.
• Monitor aging reports and follow up on outstanding balances to support cash flow and minimize delinquencies.
• Apply client payments to the correct accounts and invoices using accounting software.
• Communicate with clients to resolve payment issues, address discrepancies, and confirm payment status.
• Document AR activity, payment communications, and collection efforts in a timely and organized manner.
• Assist with AR reconciliations during monthly close and generate receivables reports for leadership.
• Identify inefficiencies in billing and AR workflows and propose process enhancements.
• Maintain up-to-date internal systems to support reporting accuracy, compliance, and audit readiness.
• Collaborate cross-functionally to address recurring issues and optimize billing practices.

Qualifications

• 2+ years of experience in billing, AR, or a similar accounting role.
• Associate’s or Bachelor’s degree in Accounting, Finance, Business, or equivalent experience preferred.
• Proficiency with accounting software (e.g., QuickBooks) and Microsoft Excel.
• Excellent attention to detail, organization, and problem-solving abilities.
• Strong written and verbal communication skills.
• Ability to manage sensitive financial information with discretion.
