Job summary

MSI is seeking an Accounts Receivable Associate to manage billing, collections, and reporting while ensuring accuracy of customer accounts. The role supports showroom and branch offices in Hayward and Sacramento, with routine Monday–Friday hours and occasional Saturday coverage.

The ideal candidate has 2+ years in AR, strong Excel skills, detail orientation, and excellent English communication. Bachelor’s preferred; MAS500 receivables experience is a plus.

• Two (2) or more years of Accounts Receivable experience
• Proficient in Microsoft Word and Excel with strong computer skills
• High attention to detail in a fast-paced environment
• Proven accuracy and ability to meet deadlines
• Excellent verbal and written English communication

Responsibilities

• Manage billing, collections, and reporting to meet deadlines
• Monitor customer accounts for non-payments and irregularities
• Reconcile customer files and accounts for internal records
• Process receipts and related transactions
• Investigate and resolve customer inquiries
• Provide showroom and branch support as needed
• Work hours Monday to Friday 08:00–17:00 with two Saturday mornings per month

Job description

Summary: The Accounts Receivable (ASR) Associate is responsible for managing payment collections and accurately allocating received payments.

To perform this job successfully, the individual must be able to complete the following essential duties and responsibilities:

• Manage billing, collections, and reporting activities to meet specified deadlines.
• Monitor customer accounts for non-payments, delayed payments, and irregularities.
• Maintain customer files and reconcile accounts for internal records.
• Follow established procedures for processing receipts, cash, and related transactions.
• Investigate and resolve customer inquiries as needed.
• Communicate with customers in person, by phone, or via mail.
• Perform additional duties as required or requested.

Additional Operational Responsibilities:

• Customer Service: Assist customers with account-related questions, order inquiries, and general customer service needs as needed.
• Showroom Coverage: Provide showroom support when needed, including assisting customers with their inquiries and helping maintain coverage during busy periods or staffing shortages.
• Saturday Coverage: Be available to assist with showroom coverage on Saturdays as business needs require.
• Branch Support: Provide AR support for both the Hayward and Sacramento branches, helping ensure timely follow-up on outstanding balances and resolution of account-related issues.

Additionally the candidate must meet the following Education and/or Experience requirements:

• Bachelor’s degree or college coursework preferred.
• Two (2) plus years of experience in Accounts Receivable.
• Previous experience with MAS500 receivables systems preferred.
• High attention to detail in a fast-paced, high-pressure environment.
• Proven accuracy and ability to meet strict deadlines.
• Proficient in Microsoft Word and Excel with strong overall computer skills.
• Strong problem-solving abilities.
• Excellent verbal and written communication skills in English.

Work Hours: Monday to Friday from 08:00 AM to 05:00 PM, 2 Saturday(s) a month from 09:00 AM to 01:00 PM
