Job Description

Summary:

The Accounts Receivable Clerk is responsible for accurately receipting and recording all monies received on vehicle deals and dealer trades, organizing deal paperwork, and supporting month-end accounting processes. This role is critical to maintaining clean schedules, accurate customer and deal records, and timely financial reporting for the dealership.

Duties & Responsibilities:

• Receipt and post all monies received for new and used vehicle deals, dealer trades, and related transactions.
• Organize and review deal jackets for completeness, including required signatures, accurate VINs, funding documents, and supporting paperwork.
• Process dealer trades in and out, ensuring all inventory, titles, and billing are correctly recorded.
• Apply cash receipts to the correct customer, deal, or account, and assist with resolving payment discrepancies.
• Perform office filing and scanning of deal paperwork, invoices, and other accounting documents to maintain accurate, auditable records.
• Assist with reconciling related schedules and preparing end-of-month accounting reports as directed by the Controller or Office Manager.
• Follow all company policies and safety procedures, and complete any other duties as assigned by the supervisor or management.
• Previous automotive dealership accounting experience required (AR, AP, billing, office clerk, or office manager level).
• Hands‑on experience with cash applications, issuing purchase orders, and reconciling statements in a dealership or similar environment.
• Strong attention to detail with the ability to review documents for accuracy, completeness, and compliance.
• Comfortable working with dealer management systems (DMS) and basic office software (Excel, Outlook, etc.).
• Strong organizational skills and the ability to manage multiple deals and deadlines in a fast‑paced environment.
• Effective verbal and written communication skills with a customer service mindset when working with internal teams and outside partners.
• Valid driver’s license, good driving record, and ability to pass pre‑employment screenings (background, drug test, and MVR).
• Must be authorized to work in the United States.
