The Founders Inn and Spa in Virginia Beach seeks an Accounts Receivable Agent to ensure accurate billing, timely collections, and professional account management within our hospitality team. This on-site, full-time role maintains guest and client accounts, resolves billing discrepancies, and processes payments.

The ideal candidate is detail‑oriented, organized, service‑minded, and communicates effectively with internal departments and external clients.

Qualifications

  • High school diploma or equivalent required.
  • At least one year of accounts receivable, accounting, or hospitality finance experience required.
  • Proficiency in Microsoft Excel, Word, and Outlook.
  • Basic Excel skills including data entry, formatting, sorting, and formulas (SUM, VLOOKUP).
  • Must complete a basic Microsoft Excel skills assessment.
  • Strong attention to detail, organization, and follow-through.
  • Ability to prioritize multiple responsibilities and meet deadlines in a fast-paced environment.
  • Sound judgment and discretion with confidential financial information.
  • Strong written and verbal communication skills.
  • Positive, collaborative, service-oriented approach.

Responsibilities

  • Prepare and distribute accurate, timely invoices with supporting documentation.
  • Reconcile account balances, review statements, and respond to inquiries.
  • Research and resolve billing discrepancies, chargebacks, and misapplied payments.
  • Process and post payments (checks, wires, deposits) per policy.
  • Monitor aging reports and follow up on overdue accounts.
  • Participate in credit meetings and assist with collection reporting.
  • Support month-end close activities and revenue-related tasks.
  • Maintain organized account files and documentation.
  • Collaborate with Accounting, Sales, Front Desk and other departments to ensure accurate billing.
  • Identify opportunities to improve processes and internal controls.
  • Assist with special projects and other duties.

Job description

Employment Type: Full-Time, On-Site

Compensation: $19.00-$20.00 per hour, commensurate with experience.

Position Overview

The Accounts Receivable Agent supports the financial health of The Founders Inn and Spa by ensuring accurate billing, timely collections, and professional account management. This role is responsible for maintaining guest and client accounts, resolving billing discrepancies, processing payments, and supporting month-end accounting activities.

The ideal candidate is detail-oriented, organized, service-minded, and able to communicate effectively with both internal departments and external clients.

Schedule

This is a full-time, on-site position scheduled for 40 hours per week, Monday through Friday. The schedule may vary based on business needs and operational requirements.

Key Responsibilities
  • Prepare and distribute accurate, timely invoices with required supporting documentation.
  • Reconcile account balances, review statements, and respond to account inquiries professionally and promptly.
  • Research and resolve billing discrepancies, chargebacks, and misapplied payments.
  • Process and post payments, including checks, wire transfers, and advance deposits, in accordance with company policy.
  • Monitor aging reports and follow up on overdue accounts to support timely collection of outstanding balances.
  • Participate in credit meetings and assist with collection-related reporting.
  • Support month-end close activities, including inventory reviews, group commission reconciliation, and revenue-related tasks.
  • Maintain accurate, organized account files and supporting documentation.
  • Partner with Accounting, Sales, Front Desk, and other hotel departments to ensure accurate billing and a seamless guest experience.
  • Identify opportunities to improve processes, strengthen internal controls, and increase efficiency.
  • Assist with special projects and other duties as assigned.
  • Maintain a professional appearance and comply with all hotel uniform and grooming standards.
  • Protect confidential financial, guest, and company information.

  • Proficiency in Microsoft Excel, Word, and Outlook.
