The Accounts Payable Supervisor role is primarily responsible for managing the day-to-day operations of the Accounts Payable (AP) department. This role also supports internal and external customers, assists with vendor relationship management, and helps with month-end and year-end closing activities.

Duties And Responsibilities

• Monitor aging reports and manage payment schedules to optimize cash flow.
• Capital One Administrator. Responsible for Managing the open cards, creating new cards, recording payments in oracle and reconciling balance sheet account for Capital One V Card.
• Responsible for finding additional opportunities to use the Capital One card to increase rebates.
• Resolve escalated supplier payment issues and discrepancies in a timely manner.
• Administrator for Concur, ANNYY and OnBase. Primary contact to resolve user issues.
• Assist with month-end closing tasks, including accruals and reporting.
• Maintain accurate and organized financial records and documentation.
• Collaborate with Procurement, Receiving, and other departments to resolve issues related to invoices or payments.
• Support internal and external audits by providing requested documentation and explanations.
• Run posting reports for Vendor Repair close and Accounts Payable month end close and resolve errors.
• Monitor payables transactions and manage payables team.
• Suggest and support process improvements to enhance efficiency and accuracy within the AP function.
• Provide backup for Lead Analyst. Create payment runs as needed. Void checks as needed.
• Modify suppliers as needed in Oracle. Approve address and banking changes.
• Do daily posting reports in Oracle.
• Review wires prior to giving to Treasury Operations Manager for payment.
• Review of critical supplier statements.
• Quarter end supplier payment tracking.
• Run posting reports for Vendor Repair close and Accounts Payable month end close and resolve errors.
• Assists in year-end or monthly/quarterly accounting procedures.
• Perform other duties as assigned.
  
  

Required Skills And Experience

• 5+ years Accounts Payable experience in a lead role.
• Supervisory experience.
• Ability to manage a busy environment.
• Strong knowledge of accounting principles and AP best practices.
• Experience with ERP systems (e.g., SAP, Oracle, NetSuite) and Excel proficiency.
• Time management skills to efficiently prioritize and execute tasks, ensuring deadlines are met and team goals are achieved in a timely manner.
• Excellent attention to detail and organizational skills.
• Strong Excel Experience. Able to do pivot tables and V-lookups.
• Strong problem-solving skills and ability to work independently.
• Effective communication and interpersonal skills.
• Ability to identify and seek needed information/research skills.
• Strong analytical and computer skills.
• Capable of managing a busy workload, organizing tasks, and meeting deadlines consistently.
• Demonstrates problem-solving abilities and effective decision-making skills.
  
  

Preferred Skills And Experience

• Familiarity with 3-way match process (PO, receipt, invoice).
• Knowledge of GAAP and internal controls.
  
  

Educational Requirements

• Bachelor’s degree in Accounting, Finance, or a related field, or equivalent work experience.
