Closet Factory is seeking a highly organized Accounts Payable Specialist to manage all AP functions for Jacksonville and Ft. Myers.

The role requires strong QuickBooks Online experience, Excel proficiency, and the ability to independently handle invoices, expense coding, receipts, and vendor payments for two entities. The candidate will work with our bookkeeper to ensure accurate records, month-end processes, and financial reporting, while maintaining confidentiality and professionalism in a

Qualificações

• Experience in accounts payable, bookkeeping, or a similar accounting role.
• Proficiency in QuickBooks Online strongly preferred.
• Strong knowledge of invoice processing and expense coding.
• Excellent organizational skills and attention to detail.
• Ability to manage multiple responsibilities and deadlines.
• Proficiency in Microsoft Excel.
• Strong written and verbal communication.
• Ability to work independently while collaborating with management and bookkeeper.
• High level of integrity, professionalism, and confidentiality.
• Experience supporting multiple companies or business entities is a plus.

Responsabilidades

• Manage all accounts payable activities for two locations (Jacksonville and Ft. Myers).
• Enter and code vendor invoices in QuickBooks.
• Track invoice due dates and prepare payments on time.
• Verify invoices for accuracy and resolve discrepancies.
• Maintain records of invoices, payments, and vendors.
• Prepare payments for management approval and process payments per procedures.
• Collect and code receipts and expenses; keep QuickBooks up to date.
• Assist with month-end accounting procedures and reporting.
• Coordinate with the bookkeeper on reconciliations and compliance.
• Maintain vendor records and tax documentation (W-9s).
• Support financial controls and communicate discrepancies to management.
