Job summary

WhiteWater Express is hiring an Accounts Payable Specialist to join our finance team in Houston, on-site. The role handles invoice processing, vendor account reconciliation, and coding/approvals within our AP system.

Ideal candidates have 2+ years of AP experience and strong skills in ERP software and Excel. You will maintain AP aging, assist in month-end close, and support vendor inquiries while ensuring compliance with policies and 1099 regulations.

Qualifications

• 2+ years of experience in accounts payable or a similar accounting role
• Proficiency in accounting software (e.g., Sage Intact, SAP, Oracle, QuickBooks, NetSuite).
• Strong attention to detail, problem-solving skills, and ability to multitask
• Excellent written and verbal communication skills for interacting with vendors and internal teams
• Ability to meet deadlines and prioritize tasks effectively

Responsibilities

• Review and process vendor invoices, ensuring accuracy and proper coding.
• Verify invoice approvals, coding and documentation in AP Automation/Approval system.
• Review and approve company purchasing card transactions, ensuring documentation and correct coding.
• Input entries into the Utility Stat Log for assigned locations, monthly completion.
• Prepare assigned vendor weekly payment runs.
• Reconcile AP transactions and vendor statements, resolve discrepancies.
• Assist with month-end closing by verifying utility stat logs are complete.
• Maintain AP aging reports and follow up on outstanding invoices.
• Respond to vendor inquiries regarding payment status and discrepancies.
• Assist with new vendor setup ensuring compliance with policies and tax regulations.
