Job summary

KBP Brands in Leawood, KS seeks an Accounts Payable Specialist to review AI/OCR-invoiced data, ensure proper GL coding, and maintain supplier records. You’ll handle high-volume processing, document control, and payment support according to internal controls.

Responsibilities

• Review and analyze AI/OCR-captured invoice data for accuracy and GL coding.
• Identify exceptions and trends, investigating root causes with the team.
• Maintain supporting documentation for AP transactions per policy.
• Perform reconciliations of high-volume vendor accounts and resolve discrepancies.
• Manage vendor records, W-9 collection, banking info, and payment terms.
• Process vendor refunds and credits and ensure correct posting.
• Monitor shared AP mailbox and respond to inquiries in a timely manner.
• Serve as a point of contact for operators, departments, and suppliers.
• Collaborate to balance workloads and meet month-end deadlines.
• Suggest improvements to processes and automation tools.

Job description

What You’ll Do

• Review and analyze AI/OCR-captured invoice data to ensure accuracy, completeness, proper general ledger (GL) coding, and compliance with company policies.
• Identify exceptions, trends, and recurring errors in automated invoice processing, partnering with the team to investigate and resolve root causes.
• Ensure accounts payable transactions have appropriate supporting documentation based on transaction type and company policies.
• Perform complex reconciliations of high-volume vendor accounts, investigating and resolving purchase order, invoice, and payment discrepancies.
• Conduct outstanding check reviews, follow up on stale-dated items, and support escheatment and unclaimed property compliance.
• Maintain accurate supplier records, including new vendor setup, W-9 collection, remittance addresses, banking information, and payment terms, while following established internal controls.
• Process vendor refunds and credits, ensuring transactions are accurately recorded and applied.
• Monitor and manage the shared Accounts Payable mailbox, prioritizing and responding to vendor, restaurant, and internal inquiries in a timely and professional manner.
• Serve as a point of contact for restaurant operators, internal departments, and external suppliers, providing responsive support and resolving payment-related issues.
• Collaborate with Accounts Payable team members to balance workloads, share knowledge, and meet month-end and payment-cycle deadlines.
• Recommend improvements to accounting processes, systems, and automation tools to enhance efficiency and accuracy.
• Perform additional projects and duties as assigned by the Accounts Payable Lead or Accounting Manager.

What We’re Looking for

• Degree in Business, Accounting or Finance or an equivalent combination of education and Accounts Payable experience.
• 2+ years of accounts payable or general accounting experience; multi-entity or multi-brand experience preferred.
• Strong analytical and problem-solving skills, with a sharp eye for detail.
• Experience with automated AP or OCR invoice processing tools and an ERP system (Workday experience a plus).
• Intermediate to advanced Excel skills (VLOOKUP/XLOOKUP, pivot tables).
• Excellent written and verbal communication skills, with a customer-service mindset.
• Self-motivated, organized, and comfortable managing competing priorities in a high-volume environment.
• Collaborative team player who wants to learn and take on new challenges.
