Phillip Jeffries in Fairfield, NJ seeks an Accounts Payable Assistant to join our Finance team. This hybrid role requires onsite work at least three days per week and supports vendor payments, invoicing, and reporting to maintain accurate financial operations.

Qualifications

• Bachelor's degree in Accounting, Finance, or related field.
• Prior accounts payable or finance experience preferred.
• Understanding of basic accounting and bookkeeping.
• Strong attention to detail and organizational skills.
• Ability to manage multiple priorities with accuracy.
• Excellent written and verbal communication.
• Maintain confidentiality and handle sensitive information.
• Proficiency with Microsoft Excel and business systems.

Responsibilities

• Process vendor invoices accurately and timely with proper coding and documentation.
• Review and reconcile vendor statements, identify discrepancies, and resolve issues.
• Support weekly check, ACH, and wire payment processes.
• Assist with preparing and maintaining payment documentation and records.
• Help manage international vendor payments and schedules.
• Review and process employee expense reports for policy compliance.
• Communicate with vendors regarding payment status and invoices.
• Assist with 1099 preparation and year-end reporting.
• Generate and analyze accounts payable reports for financial management.
• Collaborate with Finance, Supply Chain, Logistics, Sales, and IT teams to ensure smooth operations.

We're looking for a detail-oriented Accounts Payable Assistant to join our Finance team. Reporting to the Assistant Manager of Accounts Payable, this hybrid role plays an important part in maintaining accurate and timely payment processing, supporting vendor relationships, and ensuring the integrity of our financial operations. This position is based out of our Fairfield, NJ headquarters, with an expectation to work onsite at least three days per week.

What You’ll Be Doing:

• Process vendor invoices accurately and timely while ensuring proper coding and documentation.

• Support weekly check, ACH, and wire payment processes.
• Assist with preparing and maintaining payment documentation and records.

What We're Looking For

• Bachelor's degree in Accounting, Finance, or a related field preferred.
• Previous accounts payable, accounting, or finance experience preferred.
• Understanding of basic accounting, bookkeeping, and financial principles.
• Strong attention to detail with excellent organizational and time management skills.
• Ability to manage multiple priorities while maintaining accuracy.
• Strong verbal and written communication skills.
• Ability to maintain confidentiality and handle sensitive information.
• Proficiency with Microsoft Excel and other business systems.
