Job summary

Inspired Flight in San Luis Obispo, CA is seeking an experienced AP/AR Specialist to join our accounting team. You will own the full AP/AR cycle, support reconciliations, and contribute to audit and financial reporting efforts.

Responsibilities

• Own the full-cycle accounts payable process, from vendor setup and GL invoice coding through check requests, expense reports, and vendor payments.

• Manage end-to-end accounts receivable process including invoicing, cash application, and aging analysis.
• Support month-end close and balance sheet reconciliations related to AP/AR; collaborate with cross-functional teams.

This is an in-office position for hire at Inspired Flight’s HQ in San Luis Obispo, CA.

Job Description

Inspired Flight is looking for an experienced AP/AR Specialist to join our growing accounting team. This role will manage AP/AR, account reconciliations, and provide related audit and financial reporting support.

Typical Responsibilities:

Accounts Payable

• Own the full-cycle accounts payable process, from vendor setup and GL invoice coding through check requests, expense reports, and vendor payments


• Manage vendor relationships and resolve payment issues promptly


• Review, record, and reconcile daily and monthly cash entries in NetSuite


• Create and maintain vendor records, manage the W-9 database, and monitor the AP inbox


• Review company credit card activity in Emburse and reimbursements in Zoho for accuracy and employee compliance with T&E policies


• Prepare and file annual 1099s and maintain vendor tax documentation


• Design and maintain process documentation for all AP activities to ensure proper internal controls


• Support month-end close and reconcile balance sheet accounts related to AP

Accounts Receivable

Manage the end-to-end accounts receivable process, including invoicing, cash application, payment tracking, and account reconciliation

Monitor aging reports and actively pursue past-due balances, including escalation and coordination with sales on at‑risk accounts

Maintain accurate customer records and resolve billing discrepancies in a timely manner

Support month-end close and reconcile balance sheet accounts related to AR

Cross-Functional Collaboration

• Partner with purchasing, finance, sales, and operations to align on priorities and cash flow.


• Review and update applicable work instructions, SOPs, and department policies

Education/Experience Requirements:

• 2+ years of relevant accounting experience in a fast-paced or high-volume environment.


• Demonstrated ability to build scalable, efficient, and well-controlled accounting processes.


• Self-starter who thrives in a dynamic environment and proactively drives results.


• Detail-oriented with strong analytical and problem-solving skills, and clear written and verbal communication.


• Highly organized and execution-focused, with the ability to manage competing priorities independently.
