Job summary

Airshare is seeking an Accounts Payable Administrator to manage the full AP lifecycle from vendor setup to payment processing. This ON-SITE role requires meticulous record-keeping and collaboration with the accounting team at Airshare’s corporate headquarters in Overland Park, KS.

The ideal candidate has 3-5+ years in high-volume AP, strong Excel skills, and familiarity with NetSuite. Experience with Concur and 1099 reporting is a plus.

Qualifications

• 3-5+ years of experience in full-cycle Accounts Payable in a high-volume, fast-paced environment.
• Proficient in Microsoft Excel.
• NetSuite accounting system experience is a plus.
• Concur credit card tracking system experience is a plus.
• Ability to prioritize workload and maintain attention to detail.
• Effective communication skills, both oral and written.

Responsibilities

• Oversee the complete accounts payable process and ensure timely payments.
• Set up new vendors and maintain vendor records, including W‑9s and 1099 reporting.
• Route bills for approval and ensure correct entry and coding in NetSuite.
• Perform 3-way matching of invoices to purchase orders and communicate discrepancies.
• Reconcile month-end AP GL accounts and maintain vendor files and communications.
• Assist with Concur expense tracking and corporate card management.

This position requires working in the Corporate Headquarters office, located in Overland Park, KS. This is not a remote or hybrid role.ESSENTIAL DUTIESPayment processing and record managementSet up new vendors and maintain vendor records, including W-9s and 1099 reporting requirementsAssist with year-end 1099 reportingRoute bills for approval according to policy and ensure accurate entry and coding in the NetSuite accounting systemMonitor payables aging, preparing, and recording all vendor disbursements to ensure timely paymentsMaintain vendor files, statement reconciliations, and vendor communicationsReconcile the month-end accounts payable general ledger account, accrue for recurring vendor bills not received, and provide notes on extraordinary expendituresTimely and accurate 3-way matching of maintenance, training, and trip-related invoicesProcess 3-way matching to Corridor purchase orders, and communicate discrepancies with the parts managerGenerate weekly uploads to add maintenance payables to the accounting systemMaintain maintenance vendor files and communicationsRun Corridor reports to monitor unmatched purchase ordersProcess 3-way matching to NetSuite training purchase ordersConfirm managed training allocation and follow up on unmatched training purchase ordersAssist with processing 3-way matching of fuel and trip expenses to trip recordsRecord monthly amortization of prepaid training expenses and other prepayments as assignedReport hours for engine programs and accrue for bills not receivedAssist with the administration of corporate credit cards and Concur expense trackingAssist with bank communications, fraud disputes, credit limit monitoring, and new card requestsAssist with new user setup, user presentations, and assist users with the tracking system (Concur)Assist in the Corridor maintenance system month-end close report processingAssist in gathering support required for annual financial auditsOther duties as assignedQualified candidates will have 3-5+ years of experience in full-cycle Accounts Payable in a high-volume, fast-paced environment.
