The successful candidate will help maintain accurate financial records, ensure timely payments and collections, reconcile transactions, and support the company's month-end closing procedures.

This role is ideal for an accounting professional who understands both sides of the accounting cycle, can manage multiple financial workflows, and is committed to accuracy, accountability, and continuous process improvement.

Key Responsibilities
1. Accounts Payable (AP)
  • Review, verify, code, and process vendor invoices, ensuring appropriate documentation and approvals are obtained.
  • Coordinate payment schedules and prepare payment batches for authorized disbursement.
  • Manage creator and contractor payments through designated payment platforms, including Lumanu and PayPal, where applicable.
  • Investigate failed, duplicate, delayed, or disputed payments and coordinate resolutions with relevant stakeholders.
  • Review employee expense reports, verify receipts, and ensure expenses comply with company policies.
  • Maintain accurate vendor records and reconcile supplier statements.
  • Monitor outstanding liabilities and ensure payments are processed within established deadlines.
2. Accounts Receivable (AR)
  • Review and validate sales orders, confirming customer information, pricing, billing terms, and supporting documentation.
  • Support customer billing processes and ensure revenue-related transactions are recorded accurately.
  • Monitor outstanding customer balances and assist with collections and payment follow-ups.
  • Record incoming payments and investigate unapplied cash, short payments, and billing discrepancies.

  • Maintain accurate accounts receivable records and assist with aging reports and cash-flow monitoring.
3. General Ledger and Reconciliation

  • Reconcile bank accounts, payment platforms, and relevant balance sheet accounts.
  • Ensure transactions are accurately classified and recorded in the appropriate accounting periods.
  • Investigate discrepancies between accounting records, billing systems, and payment platforms.
  • Assist with revenue reconciliation and ensure financial activity aligns with sales orders and billing records.
  • Support month-end and year-end closing activities, including reconciliations, schedules, and supporting documentation.

  • Work with designated systems, including Airbase and Paylocity, where applicable.
5. Financial Reporting and Internal Controls
  • Prepare routine accounting schedules, transaction summaries, and reconciliation reports.
  • Maintain organized financial documentation for internal reviews and external audits.
  • Follow established accounting policies, approval procedures, and internal control requirements.
  • Identify unusual transactions, duplicate entries, and potential reporting errors.
  • Recommend improvements to accounting workflows, payment processing, and reconciliation procedures.
  • Protect confidential financial information and ensure records remain accurate and accessible to authorized personnel.
Performance Expectations

The Accounting Specialist will be expected to maintain accurate accounting records, process approved transactions within established timelines, resolve discrepancies promptly, support timely financial close activities, and contribute to reliable financial reporting. Success will be measured by transaction accuracy, reconciliation quality, adherence to deadlines, compliance with internal controls, and the effectiveness of communication with internal and external stakeholders.
