Job description

  • 5 Days Sick PTO, Annually

Long Hagan Huff-Harris is seeking an Accounting Specialist to join its accounting department. This is a vital position at the firm and a critical one for many reasons; strong communication and interpersonal skills are essential qualities in order to be successful in this role.

The Accounting Specialist reports to the Accounting Manager and works closely with the Director of Finance & Administration and the Firm’s Controller. The role assists in maintaining and providing insight into the accounting of the Firm, and must be comfortable maintaining positive contact with clients, vendors and staff while observing the confidentiality of client matters.

Requirements
  • Working proficiency in QuickBooks Online and Microsoft Excel.
  • Experience with Clio Manage or a comparable legal practice management system is a plus.
  • Exposure to trust, escrow or client funds accounting is a strong plus — the Firm’s method is documented and will be taught.
  • An associate’s degree in accounting or business, or equivalent working experience.
Responsibilities
  • Recording all client payments in Clio Manage and in QuickBooks Online.
  • Entering and coding vendor invoices, and processing check requests for payment.
  • Categorizing and classing all incoming transactions in QuickBooks Online to the correct practice area.
  • Responding to client billing questions.
  • Maintaining records of back-up documents to the firm’s retention standards.
  • Processing credit card payments.
  • Assisting the Firm with banking needs.
  • Supporting the monthly IOLTA three-way reconciliation.
  • Managing the A/R process — aging review, collections follow-up, and the monthly allowance workpaper.
  • Assisting with payroll, PTO, and 401(k) administration.
  • Assisting with month-end close and KPI reporting.
  • Providing additional support to the Accounting Manager, Controller, and the Director of Finance & Administration.
Things to Know
  • Every recurring task has a written procedure behind it. The Firm maintains a complete library of accounting policies, standard operating procedures and request forms, governed by a delegation-of-authority matrix that sets out who approves what. Your duties are written down, by name, before your first day.
  • The month-end close runs on a calendar. The books close and the period locks on the ninth business day; the reporting package issues on the tenth. Close here is a routine, not a scramble.
  • The books are current and reconciled. The IOLTA three-way reconciliation is struck every month with all three legs agreeing. Revenue is recognized on a documented, written basis. The allowance for doubtful accounts is re-measured monthly from the aging. The Firm produces a profit and loss statement by practice area. You are walking into a clean set of books, not a cleanup project.
  • Onboarding is structured. Training is delivered against a competency framework that tracks each task from aware, to supervised, to proficient, with the policy or procedure behind it recorded as you are trained on it. You will know what you are expected to be able to do, and by when.
  • You will not be the only person who knows how anything works. The department has an Accounting Manager, a Director of Finance & Administration, a Controller, and a written cross-training and backup policy. No one here is a single point of failure, and no one is expected to be.
  • The systems are current. Clio Manage for matters, billing and trust; QuickBooks Online for the general ledger; LawPay for card payments; Microsoft 365 for the Firm’s request and approval workflow.
  • The Firm holds client money in Massachusetts IOLTA accounts. This role supports the monthly three-way reconciliation of them. Trust work is governed by a written policy. Prior IOLTA experience is a plus, but the method is documented and will be taught. What is required is the temperament to treat client money carefully and to raise a question rather than quietly resolve it.
The Ideal Candidate
  • Excellent customer service skills — A welcoming and polite demeanor is essential to success in this position. Clients expect prompt responses and follow-up to all correspondence, whether over the phone or by email, and it is critical to remain composed even when a client expresses frustration.
  • Superior attention to detail — Precision matters more here than speed. The ability to shift between billing, payables, payroll support and reconciliation work in the same day while staying accurate and focused on quality.
  • Organized and systematic — Someone who works comfortably inside a documented system, keeps their records as they go, and improves a process rather than working around it. Several projects run at different stages of workflow, so superior time-management skills are essential.
  • Highly communicative and collaborative — We are a close team and do our best work based on trust in each other and collaboration. Strong interpersonal communication and organizational skills are essential, not only within the office but also with clients and their families, and with other professionals in the community.
  • Self-motivated and solution-minded — If you encounter a problem, we want you to be part of the solution. While we value collaboration, the ability to work independently and self-direct is important.
  • Strong computer and technology skills — The ideal candidate must be comfortable learning and using software programs daily. Proficiency in QuickBooks, MS Office and general app technology is a must.
  • Compassionate and caring — As a firm that provides assistance to individuals who have recently lost a loved one, our clients are often in stressful situations. Good listening skills, a high level of customer service, and the ability to be extra supportive are critical.
