Job summary

Diablo Tools is seeking an experienced Accounting and Operations Specialist to oversee accounts payable, close activities, and vendor data management. The role links vendors, purchasing, and shared services to streamline workflows in a fast-paced environment.

The ideal candidate holds a Bachelor's in Accounting or Finance (or 8+ years of experience), with strong Excel and Power BI skills, and a proven track record in monthly closes and cost center allocations.

Qualifications

• Bachelor's Degree in Accounting or Finance, or minimum 8 years of experience.
• Proficiency in Microsoft Office, especially Excel, and Power BI.
• Experience with general ledger structures and monthly close.
• Strong attention to detail and ability to meet deadlines.
• Effective communication and collaboration with internal teams.

Responsibilities

• Match invoices to purchase orders and ensure accurate general ledger and cost center allocations.
• Monitor the AP mailbox and ensure timely invoice processing, both locally and through shared services.
• Monitor invoice workflows and proactively address aging items while ensuring compliance with approval protocols.
• Support vendor master data creation and maintenance, collaborating with shared services & purchasing.
• Collaborate closely with the internal purchasing team to support efficient AP processes.
• Serve as the primary point of contact for vendors regarding accounts payable inquiries.
• Support monthly, quarterly, and year-end AP activities, including invoice reconciliations and accruals.
• Serve as the point of contact for payment execution and related inquiries.
• Support internal and external audit activities as needed.
• Manage administrative activities for Diablo Fleet in close collaboration with the local Fleet Manager.
• Proactively identify opportunities for process improvements and automation.
• Assist with additional projects and operational activities as needed.
