Position: Accounting Manager

The Accounting Manager is responsible for overseeing the company’s general ledger and accounts payable functions and assisting with payroll processing. This position plays a key role in the monthly, quarterly, and annual financial close processes, ensuring the accuracy and completeness of financial records and compliance with generally accepted accounting principles (GAAP), company policies, and internal controls.

The Accounting Manager will work closely with the finance team, department leaders, external auditors, and third‑party service providers. The successful candidate will be hands-on, detail‑oriented, and comfortable operating in a dynamic, growing organization.

Key Responsibilities
General Ledger and Financial Close
  • o Manage the monthly, quarterly, and annual financial close processes, including close schedules and task coordination.
  • o Prepare and review journal entries, account reconciliations, accruals, prepaid expenses, fixed assets, and other general ledger activity.
  • o Partner with Finance and Operations teams to manage inventory costing and gross margin analysis, including allocation and capitalization of direct and indirect labor and overhead.
  • o Oversee costing of consigned inventory and outsourced manufacturing.
  • o Review trial balances and financial results to identify errors, unusual activity, and variances.
  • o Maintain the chart of accounts and ensure transactions are recorded accurately and consistently.
  • o Support the preparation of financial statements and management reporting.
  • o Ensure compliance with GAAP and established accounting policies and procedures.
  • o Research and resolve accounting issues and recommend process improvements.
  • o Maintain complete and organized supporting documentation for financial transactions.
Accounts Payable
  • o Oversee the accounts payable process, including vendor onboarding, invoice review, coding, approval, and payment.
  • o Ensure invoices and employee expense reports are processed accurately and timely.
  • o Review payment runs and supporting documentation before payments are released.
  • o Monitor accounts payable aging and resolve outstanding or disputed items.
  • o Maintain vendor records and appropriate tax documentation, including Forms W-9 and 1099 reporting.
  • o Ensure compliance with purchasing, approval, and payment authorization policies.
  • o Coordinate with vendors and internal departments to resolve invoice and payment questions.
Payroll Support
  • o Assist with biweekly payroll processing in coordination with the company’s payroll provider.
  • o Review payroll data, including new hires, terminations, compensation changes, time records, bonuses, deductions, and benefit elections.
  • o Reconcile payroll registers and related general ledger accounts.
  • o Prepare or review payroll journal entries and payroll‑related accruals.
  • o Assist with payroll tax filings, employee inquiries, and year-end reporting, including Forms W-2.
  • o Maintain the confidentiality of employee compensation and payroll information.
Internal Controls, Audit, and Compliance
  • o Maintain and strengthen internal controls over general ledger, accounts payable, and payroll processes.
  • o Support quarterly reviews and annual financial statement audits.
  • o Prepare audit schedules and respond to requests from external auditors.
  • o Assist with Sarbanes‑Oxley compliance, including process documentation, control execution, and internal control testing, as applicable.
  • o Support the preparation of quarterly and annual SEC filings, as applicable.
  • o Support income tax, sales tax, franchise tax, and other government reporting or regulatory compliance filings, as needed.
  • o Help develop, document, and implement accounting policies and procedures.
Team and Process Management
  • o Supervise, train, and develop accounting staff or consultants, as applicable.
  • o Establish clear priorities and ensure accounting deadlines are met.
  • o Identify opportunities to improve efficiency, accuracy, automation, and scalability.
  • o Collaborate with finance, human resources, operations, purchasing, and other departments.
  • o Perform other accounting and finance duties as assigned.
Qualifications
  • Bachelor’s degree in accounting, finance, or a related field.
  • Five or more years of progressive accounting experience, including general ledger and financial close responsibilities.
  • Prior experience managing or overseeing accounts payable.
  • Working knowledge of payroll processing and payroll accounting.
  • Strong knowledge of U.S. GAAP.
  • Experience preparing journal entries, account reconciliations, and audit schedules.
  • Proficiency with accounting systems and Microsoft Excel.
  • Strong analytical, organizational, and problem‑solving skills.
  • Ability to manage multiple priorities and meet recurring deadlines.
  • High level of accuracy, integrity, discretion, and attention to detail.
  • Strong written and verbal communication skills.
Preferred Qualifications
  • Certified Public Accountant (CPA) designation or CPA candidate.
  • Experience in a public company or regulated environment.
  • Experience with SEC reporting and Sarbanes‑Oxley compliance.
  • Experience in the medical device, manufacturing, healthcare technology, or life sciences industry.
  • Experience with inventory, cost accounting, or manufacturing accounting.
  • Experience implementing or improving accounting systems and processes.
Job Type
  • On-site in Petaluma office and/or hybrid.
  • Full-time.
  • Compensation: Base salary range of $125,000 - $150,000, plus bonus and equity.
