Nelson Byrd Woltz Landscape Architects (NBW), a design firm with offices in Charlottesville, VA, and New York, NY, is seeking a full-time Accounting Manager to work closely with our Senior Leadership team, Project Managers, Marketing department, and administrative staff. This position is based in NBW’s Charlottesville, Virginia office and is expected to work primarily on-site, with regular coordination with the New York office.
The Accounting Manager is responsible for managing the firm’s accounting operations, financial reporting, internal controls, and project accounting processes across both offices. This role supervises two direct reports and is responsible for ensuring that accounting workflows are accurate, timely, well-documented, and aligned with firm policies and procedures.
The Accounting Manager is responsible for ensuring that all accounting allocations are appropriately made and documented. This position will perform, manage, and oversee accounts payable, accounts receivable, complex project billing, payroll coordination, fixed assets, and bank reconciliation functions for both offices.
This role will also prepare and post monthly journal entries, support month-end and year-end close processes, and maintain meticulous close workpapers and supporting documentation. The Accounting Manager is responsible for maintaining accurate financial records and ensuring that accounting systems and processes support the needs of the firm.
The Accounting Manager supervises 1.5 direct reports and is responsible for assigning work, reviewing output, providing guidance, and ensuring accountability across day-to-day accounting functions. This position works closely with administrative staff, project managers, and firm leadership to resolve billing, collections, payroll, vendor, and project accounting questions.
The Accounting Manager is responsible for establishing, maintaining, and executing internal controls over the firm’s accounting and financial procedures. This includes reviewing and approving invoices to be paid, reviewing outgoing invoices and aging reports, monitoring online banking activity and firm credit card accounts, and helping prevent unauthorized or inaccurate transactions.
The Accounting Manager will oversee collections, manage the accounting software database, coordinate with external tax accountants for income tax preparation, and ensure that company financial records are organized and readily available for review.
The Accounting Manager is responsible for preparing accurate and timely financial reports for firm leadership, including financial statements, balance sheets, cash flow reports, project budget information, and other reports as needed.
This position supports banking and finance activities, including assisting with lines of credit, vendor agreements, financing arrangements, insurance documentation, and related financial records. The Accounting Manager provides accurate and comprehensive financial information to the Senior Principal and senior leadership team as needed.
The Accounting Manager must be skilled in financial analysis, project accounting, and spreadsheet design. This role works closely with Project Managers to forecast and track project-related expenses, labor fees, project budgets, billing status, and staffing projections against actual staffing.
The Accounting Manager should be comfortable translating financial information into clear, useful reporting that supports project management and firm decision-making.
