Job description

Now is a great time to join Nopak, a leader in fluid power located in the Greater Milwaukee Area. As our privately held business undertakes a significant growth initiative with new customer opportunities, we are hiring an Accounting & HR Specialist to own the accounting and HR administration behind it. This position reports to the VP of Finance & Operations.

This role combines two functions that most companies keep apart, and that is the opportunity in it. You will run payroll and benefits for the entire company, help bring in the people who will build our next decade, and own the AP, AR, and month-end close work that tells us how the business is actually performing. There are not many seats that give you that much visibility into how a company runs.

You will also be the first person an employee asks about a paycheck and the first person a candidate talks to about working here. That makes this role a direct contributor to an engaged, well-supported workforce rather than a back-office function. Employees who love to own processes and drive improvements while enjoying the fast pace of their day thrive in our work environment.

Nopak is a high-mix, low-volume manufacturer continuing to take market share in our core customer segments, with fewer than 50 employees and a leadership team that makes decisions in days rather than quarters. We pride ourselves on helping energetic, ambitious employees thrive in our entrepreneurial and fast-paced culture. If you want real breadth, real ownership, and a direct line to the leadership of the business, we want to hear from you.

Responsibilities:
Payroll
  • Prepare and process biweekly payroll end to end, including time review, deductions, garnishments, and corrections.
  • Review timecards for accuracy and follow up with supervisors on missing or incorrect punches before processing.
  • Process new hires, terminations, and pay rate changes, and maintain employee records and PTO accruals in the HRIS.
  • Prepare payroll journal entries and labor reporting for the general ledger.
  • Support quarterly and year-end payroll filings and W-2 processing.
Benefits Administration
  • Administer employee benefit programs, including enrollments, qualifying life event changes, and terminations.
  • Reconcile monthly carrier invoices and resolve discrepancies before they are paid.
  • Coordinate annual open enrollment, including employee communication and processing elections.
  • Administer 401(k) contributions, remittances, and census reporting.
  • Maintain leave, COBRA, and workers' compensation paperwork and records.
Accounts Payable & Accounts Receivable
  • Process accounts payable: match vendor invoices to purchase orders and inventory receipts, code to the correct accounts, and resolve discrepancies.
  • Complete weekly vendor payment runs by check and ACH.
  • Manage accounts receivable: apply customer receipts, make remote check deposits, and record daily cash.
  • Follow up on past-due accounts and elevate collection issues before they age further.
  • Maintain accurate AP and AR records and supporting documentation, and respond to vendor and customer inquiries.
Month-End Close
  • Perform assigned month-end close activities on schedule, including bank and account reconciliations.
  • Prepare accruals, prepaid expense adjustments, and recurring journal entries.
  • Reconcile the AP and AR subledgers to the general ledger.
  • Support monthly financial reporting and ad hoc analysis for the VP of Finance & Operations.
General
  • Own onboarding administration so a new employee's first day is organized: I-9, payroll setup, and benefits enrollment.
  • Document and maintain standard processes for assigned tasks so the work is repeatable and can be covered when you are out.
  • Provide backup support for other office and finance team members as needed.
  • Use available tools, including AI, to reduce administrative time on recurring work.
  • Help with ad hoc reports and other duties as assigned.
Minimum Qualifications:
  • Associate's or bachelor's degree in accounting, business, or a related field, or equivalent experience.
  • Minimum 2 years of hands-on experience in payroll and AP/AR.
  • Experience processing a full payroll cycle independently, start to finish.
  • Proficiency with an ERP or accounting system and Microsoft Office, especially Excel.
  • Strong attention to detail and accuracy, and reliability on deadlines that do not move.
  • Proven ability to keep payroll, benefits, and applicant information confidential.
  • Clear, professional communication by phone and email with employees, candidates, vendors, and customers.
  • Ability to manage competing accounting and HR deadlines in the same week without dropping either.
Preferred Qualifications:
  • Experience with Microsoft Dynamics 365 Business Central.
  • Payroll experience in Paylocity.
  • Benefits administration experience, including open enrollment and carrier invoice reconciliation.
  • Recruiting coordination or resume screening experience.
  • Experience in a manufacturing environment, including month-end close in a standard cost environment.
  • Familiarity with AI tools such as Claude.
