West Liberty University is seeking an Accounting Assistant to support major accounting activities, including processing routine financial transactions, AP/AR duties, and traveler reimbursements. Responsibilities include interacting with departments and vendors, ensuring policy compliance, posting entries in the financial system, and assisting with travel and P-card activities.

Qualifications

  • Associates, vocational, or technical school degree in Accounting, Finance, or related field.
  • 1-2 years of directly related work experience required.
  • 2-3 years of directly related work experience preferred.

  • Interacts with and responds to customers with routine questions or problems related to specific accounting functions.
  • May work with regular vendors in placing and verifying orders and tracking invoices.
  • Ensures transactions are administratively compliant with institutional policies using established guidelines and processes.
  • Uses institutional financial system to process, code, and post routine accounting transactions such as travel reimbursements, invoices, check requests, P-card charges, etc.
  • Totals and calculates cash, credit card and checks received; may make daily bank deposits and keep accurate records of bank transactions.
  • May process, code, and enter invoices and receipts for Accounts Payable transactions; reviews A/P for accuracy and documentation.
  • Creates new vendor accounts or vendor updates in the system.
  • Audits, verifies, and processes travel expense reports and state contract agreements for compliance.
  • Finds inconsistencies in transactions and contacts departments for more information.
  • Receives, audits, and research P-card transactions and budget limits; researches rejected charges.
  • Audits wire transfers or inter-departmental expenditures.
  • Reviews and verifies charges/credits on student accounts.
  • Performs other job-related duties as assigned.

The Opportunity

West Liberty University is seeking applications for an Accounting Assistantwho is responsible for is responsible for performing a variety of tasks of basic complexity to support the major accounting activities of the institution, such as processing of accounting or fiscal related transactions for an institutional accounting function and serving as an informational resource for departments, offices, or centers. Additional responsibilities may include providing accounting clerical support for an Accounts Payable, Accounts Receivable, Travel, P-card accounts, student accounts, or General Accounting section. Job responsibilities require knowledge of institutional enterprise, financial, and accounting systems, as well as basic ability to use MS Word and Excel to complete clerical accounting transactions. Work is closely supervised, with limited opportunity for independent action or decision-making, and consists of tasks that are routine, or well-defined, with specific instructions to achieve standards. Decisions are limited to the application of standardized or accepted practices and errors could result in moderate costs and inconveniences within the affected area.

Essential Functions of the position

  • May work with regular vendors in placing and verifying orders and tracking invoices.
  • Ensures transactions are administratively compliant with institutional policies using established guidelines and processes.
  • Uses institutional financial System to process, code, and post routine accounting transactions such as travel reimbursements, invoices, check requests, P-card charges, etc.
  • Totals and calculates cash, credit card and checks received. May make daily bank deposits and keeps accurate records of bank transactions.
  • May process, code, and enter invoices and receipts for Accounts Payable transactions. Reviews A/P transactions for accuracy, contractual compliance (if applicable), and proper documentation. Research lost payments.
  • Creates new vendor accounts or enter vendor updates in system.
  • Audits, verifies, and processes travel expense reports, state contract agreements, and institutional rules/policies to ensure compliance and accurate travel reimbursement processing.
  • Finds and researches inconsistencies in transactions and contacts departments/college for additional information.
  • Receives, audits, and research P-card transactions based on the department budget and P-card limits. Research rejected charges due to budget errors.
  • Audits wire transfers or inter-departmental expenditure transfers.
  • Reviews and verifies charges/credits made to individual student accounts.
  • Performs other job-related duties as assigned.
Education & Experience Requirements
  • Associates, vocational, or technical school degree in Accounting, Finance, or related field.
  • 1-2 years of directly related work experience required.
  • 2-3 years of directly related work experience preferred.
