Position: Accounting Assistant

Location: Orange, CA

Pay: $28/hour

Experience: Prior accounting experience in a manufacturing environment is required.

Education: High school graduate; some college preferred, with emphasis in accounting.

Type: Full-time; Contract

Schedule: Monday - Friday, Day Shift

HB Staffing is seeking an Accounting Assistant to join a growing and dynamic team!

Job Responsibilities:
  • Manage accounts receivable and collections; monitor weekly.
  • Approve vendor invoices and assist with weekly check runs.
  • Reconcile monthly credit card statements and weekly bank activity.
  • Handle daily invoicing, including billing through customer portals.
  • Run end-of-month reports from FileMaker.
  • Maintain W-9 records and track expensed assets.
  • Prepare and process bank deposits and customer credit card transactions.
  • Coordinate new hire onboarding and orientation.
Additional Responsibilities:
  • Maintain up-to-date supplier certifications.
  • Assist with preparing documentation for quality goals, metrics, and other requirements.
  • Follow up on supplier-related non-conformance issues.
General Office Duties:
  • File accounts payable documents and closed orders.
  • Archive old records and maintain organized file storage.
  • Answer and direct incoming phone calls.
  • Open and distribute incoming mail.
Sales Support:
  • Download RFQs from customer portals, organize files, and distribute to appropriate team members.
  • Assist with entering parts list data for quote evaluations.
  • Serve as the point of contact for website updates and improvements.
Position Requirements:
  • Computer skills in utilizing accounting software.
  • Knowledge of Word, Outlook, Excel, and FileMaker.
  • Excellent verbal and written communication skills.
  • Ability to read, write, and speak English.
