Accounting Assistant/Election Representative (Extra Help)


Orange County Registrar of Voters (ROV) will begin accepting applications for the Accounting Assistant/Election Representative (Extra Help) position on Thursday, May 8, 2025. This recruitment will be posted for a minimum of five (5) business days and will remain open on a continuous basis until the needs of the Agency are met. Qualified applicants are encouraged to apply immediately. The first review of applications will be done on or about Monday, May 12, 2025. Please Note: Only online applications will be accepted. These are Extra Help temporary/seasonal positions (these are NOT permanent). These positions may require overtime, including evenings and weekends.


Registrar of Voters

The Registrar of Voters, a nationally recognized and award-winning agency, is responsible for conducting elections, verifying petitions, and maintaining voter records in Orange County, the fifth largest voting jurisdiction in the United States with 1.9 million active registered voters. The department is funded by the County's General Fund, with periodic reimbursements from federal, state, and local sources. The staff includes 56 full-time employees and numerous extra help employees supporting various election-related roles. The department oversees all components of election management.

ABOUT THE POSITION

The Election Representative/Accounting Assistant (Extra Help) will support staffing within the Administrative Services Department. Job duties may include:

  • Accounts payable processing
  • Reviewing and comparing accounting documents such as invoices, requisitions, purchase orders, bills, warrants, claims, and others
  • Reconciling department Cal, Travel cards, and petty cash
  • Conducting surprise cash audits
  • Reviewing and processing mileage claim forms
  • Handling election-related accounting activities: estimates, billing, statement reconciliations, refunds, and invoices
  • Providing customer service to vendors and department staff
  • Other duties as assigned

DESIRABLE QUALIFICATIONS

Ideal candidates will demonstrate the ability to manage multiple tasks, interpret policies and regulations, work well independently and in teams, and handle a fast-paced environment with little notice for overtime. Additional qualifications include:

PHYSICAL, MENTAL, AND ENVIRONMENTAL REQUIREMENTS

Physical Conditions: Ability to read standard text, view a computer monitor, communicate clearly, stand, sit, walk, stoop, bend, and operate office equipment.

Mental Conditions: Ability to reason logically, remain calm, and focus on interpersonal situations.

Environmental Conditions: Ability to work in an office with changing priorities and deadlines.


SPECIAL REQUIREMENTS

Successful candidates will pass a background check, including employment history, references, and criminal check. Possession of a valid California driver’s license, Class C, with a clean driving record, may be required. DMV checks will verify the driving record.

RECRUITMENT PROCESS

The department will screen applications and responses to supplemental questions to identify qualified candidates. Qualified candidates will be notified of further steps.
