Job summary

MendenFreiman, LLP is seeking an Accounting & Systems Assistant to support accounting, billing, and practice management systems in an in-office role. You will work closely with the Director of Accounting & Finance and the Billing & Systems Manager to ensure accurate financial records and efficient operations.

The ideal candidate is detail-oriented, organized, and technologically proficient, with interest in both accounting and legal practice management.

Qualifications

  • Bachelor’s degree required in a related field.
  • Experience with Centerbase or similar practice management software preferred.
  • 1–3 years of legal billing, accounting, or practice management experience sought.
  • Strong organizational, time management and problem-solving skills; professional attitude.

Responsibilities

  • Process vendor invoices and certified charges for accounts payable.
  • Enter daily cash receipts into Centerbase and reconcile transactions.
  • Monitor accounts receivable aging and assist collections with attorneys and clients.
  • Support monthly billing and finalize client invoices; backup to Billing & Systems Manager.
  • Assist with Centerbase data maintenance and accounting/reporting tasks.

This in-office position works closely with the Director of Accounting & Finance and the Billing & Systems Manager to support the firm's accounting operations, financial administration, practice management systems, and billing functions. The ideal candidate is highly detail-oriented, organized, and technologically proficient, with an interest in both accounting and legal practice management.

Successful candidates will take pride in providing exceptional internal and client service while demonstrating professionalism, accuracy, accountability, and a commitment to operational excellence. This role offers an excellent opportunity to develop expertise in law firm accounting, financial reporting, billing, and systems administration while contributing to the firm's continued success.

Key Responsibilities
Accounting & Finance Responsibilities
  • Support accounts payable functions, including processing vendor invoices and certified charges
  • Enter daily cash receipts into Centerbase, Firm’s practice management software
  • Perform initial reconciliation of office credit card transactions
  • Support the firm's collections process by monitoring accounts receivable aging, reviewing outstanding balances, maintaining collections records, preparing reports, and coordinating follow-up communications with attorneys and clients to facilitate timely payment of invoices
  • Maintain accurate financial records and organized filing systems
  • Provide backup support for processing, and depositing checks
Systems & Practice Management Responsibilities
  • Assist with the client intake process, including matter setup, and related administrative follow-up
  • Review matters in Centerbase on a weekly basis to ensure accuracy and identify necessary updates
  • Review and close inactive client matters on a monthly basis
  • Assist with Centerbase data maintenance, user support, troubleshooting, and system related projects
  • Support data audits and maintain documentation for accounting, billing, and practice management processes
Billing
  • Support the monthly billing process, including the preparation, review, and finalization of client invoices
  • Serve as backup to the Billing & Systems Manager during billing cycles and attorney invoice review periods
Administrative Support
  • Provide general administrative support to the Director of Accounting and Finance
  • Assist with special projects and operational initiatives
  • Perform general office support duties, including processing certified mail, handling post office runs, maintaining filing systems, and scanning, filing, and digitizing documents as needed
Requirements
  • Bachelor’s degree required
  • Experience with Centerbase or similar legal practice management software strongly preferred
  • 1-3 years of experience in legal billing, accounting, finance, practice management, or administrative operations within a law firm, accounting firm, financial services firm, or other professional services organization preferred
  • Strong organizational, time management, and problem-solving skills
  • Demonstrates initiative, reliability, and a positive, professional attitude
  • Ability to prioritize competing demands and adapt in a fast-paced environment
  • Proficiency with Windows-based software and Microsoft Word, Excel, and Outlook required
  • Ability to handle confidential and sensitive information with discretion and professionalism
  • Strong proficiency in Microsoft 365 applications, particularly Excel, including the ability to create, maintain, and analyze spreadsheets and financial data
