You will manage vendor and customer invoices, reconcile transactions daily, and support CFO-driven processes, while maintaining organized records and professional communication across teams.

Qualifications

• Data Entry: minimum 5 years experience required.
• Customer Service: minimum 3 years experience required.
• Proficient with Microsoft Outlook, Excel, Word and PDF tools.
• Excellent numerical accuracy and strong organizational skills.
• Clear verbal and written communication; able to work independently.
• Fast learner with a systems-oriented mindset.

Responsibilities

• Enter vendor invoices and credits and create customer invoices.
• Reconcile bank and system transactions daily; reconcile credit cards.
• Prepare weekly open orders reports with vendors and CFO guidance.
• Answer multi-line phone system; provide general office support.
• Maintain filing and data organization; support team on tasks.
• Perform high-volume data entry and ensure accuracy.

Location: On-site

Schedule: Monday–Friday, 8:00 AM – 5:00 PM

Master Machining, Inc. (MMI) is seeking an experienced Billing and Account Specialist with strong data entry skills to join our fast-paced manufacturing environment. This role is critical to maintaining accuracy, organization, and communication across customer and vendor invoicing and internal operations.

Key Responsibilities & Duties

• Responsibilities include, but are not limited to:


• Enter all vendor invoices and credits


• Create and issue all customer invoices


• Reconcile missing transactions between the bank and our systemdaily


• Reconcile missing credit card transactions into the system daily


• Perform an end of week report foropen orders with vendors


• Assist in entering all data from second company at the direction from the CFO


• Answer a multi-line phone system and provide general office support


• Maintain office organization, including: Filing sales folders in numerical order.


• Assisting team members with administrative and operational tasks as needed


• Perform high-volume data entry (this is a required and critical function of the role)


• Maintain exceptional numerical and document organization, essential to MMI’s operations


• Communicate clearly and professionally with internal teams and customers


• Participate in office cleaning duties on a rotational schedule (sweeping, vacuuming, bathroom upkeep, dusting, trash removal)


• Bring positive energy to the workplace and contribute as a team player and motivator

Required Skills & Qualifications:

• Data Entry: Minimum 5 years (Required)

Preferred Experience:

• Purchase orders, invoicing, or manufacturing sales experience
