Position Summary
A food manufacturing and distribution company serving restaurants, retail customers, and K-12 programs, is seeking an Accountant & Administrative Assistant to manage full-cycle accounting and office administration for three legal entities. This high-ownership, highly autonomous role is ideal for an experienced accounting professional who can serve as the sole in-house accounting resource and work directly with leadership, vendors, and outside providers with minimal oversight.
General Ledger & Month-End Close
- Own full-cycle GL accounting (AP/AR, invoicing, journal entries, reconciliations) across three entities.
- Lead monthly, quarterly, and annual close processes; produce financial statements and management reporting.
- Prepare balance sheet, bank, credit card, and intercompany reconciliations; investigate and resolve discrepancies.
Cost & Inventory Accounting
- Support inventory and WIP accounting for manufacturing cost tracking; reconcile inventory activity to cost of sales.
- Track direct product costs, yield/scrap variances, labor efficiency, and overhead absorption; prepare product P&Ls.
- Partner with Production and Purchasing on recipe/BOM usage and vendor pricing changes; quantify gross margin impact.
Procurement & Vendor Management
- Lead procurement for select entities: source vendors, run comparative bid analysis, and negotiate pricing to control costs.
- Serve as primary point of contact for vendors.
Payroll, Tax & Compliance
- Process multi-entity payroll with accuracy and confidentiality.
- File EFTPS, sales tax, franchise tax, and Mixed Beverage Tax; track recurring compliance deadlines across all entities.
- Coordinate and support external audits, tax filings, and payroll reviews.
Office & Systems Administration
- Manage day-to-day office administration across multiple sites: supplies, equipment, facilities, and general vendor support.
- Answer Phones a receive visitors.
- Maintain organized records of contracts, filings, provider communications, and renewal dates.
Qualifications
- Bachelor's degree in Accounting, Finance, or related field.
- 5+ years of progressive accounting experience, ideally in CPG food manufacturing or a multi-entity environment.
- Proven ability to own full-cycle accounting independently, with minimal oversight.
- Experience with inventory/WIP accounting, standard costing, and variance analysis.
- Strong vendor management and negotiation skills; comfortable serving as a liaison to external providers.
- Proficiency in QuickBooks Desktop (required).
- Advanced Excel skills.
- Bilingual (Spanish/English).
- Highly organized, self-directed, and comfortable managing multiple entities and competing deadlines.
