Job description

Multi award winning Destination Management Company, MC&A, provides a range of specialized services for its clients, from event development and strategy to creative direction and design, from budgeting and on-site execution to financial reconciliation.

We are currently seeking an Account Coordinator to join our exemplary team in Phoenix. AZ whose primary responsibilities will be to support the Sales Team. This position is remote and must reside in Phoenix.

ABOUT THE ROLE

The Account Coordinator supports our Account Executives and assists with the coordination of a program’s success. Responsibilities include but are not limited to:

  • Create/develop custom proposals
  • Reserve/confirm vendors, maintaining open communication throughout the proposal and contracting process
  • Generate Letter of Agreement (LOA) s and contracts
  • Create/update sales kits and promotional materials
  • Provide program support (sometimes on-site) as needed
  • Manage and develop vendor library through research (product development)
  • Build strong relationships with customers (internal and external) and vendors/suppliers
  • The position is primarily M-F, 8:30am-5:00pm, however, flexibility is important (evenings/weekends may be required)
ABOUT YOU

Our ideal candidate will have the following

  • 1-2 years experience in the DMC industry and/or event planning preferred
  • In depth knowledge of destination
  • Excellent communication skills both verbal and written. Ability to communicate clearly and concisely, both verbally and in writing.
  • Strong problem-solving and analytical skills including decision making, time management, and task prioritization
  • Manage concurrent projects in deadline driven environment. Must possess the ability to multitask, perform efficiently under tight deadlines.
  • Detail oriented, resourceful and able to work independently as well as with a team
  • Self-starter who can work with minimal direction at tasks with a sense of urgency and dedication to accomplishing them

Physical and Mental Demands:

  • Dedicated office space in your remote location.
  • Requires alertness, attention to detail and concentration.
  • Highly organized and able to adapt quickly to shifting priorities.
  • Able to interpret and follow a variety of instructions furnished in written, verbal diagram or schedule form.
  • Able to work under pressure to meet deadlines, use sound judgment, work cooperatively with others and deal constructively with conflict.
  • Able to handle stressful situations, solve problems and complaints in a timely and professional manner.
  • Able to frequently communicate with vendors and clients (internal and external) over phone and email.
  • Able to constantly operate a computer and other office productivity machinery, such as a copier and printer.
  • Must be able to remain in a stationary position 75% of the time.

Communication Demands:

  • Constant – talk and write to receive instructions and requests from manager, co-workers, clients and/or vendors.
  • Constant – read, compose, and edit documents and emails from manager, co-workers, clients and vendors.
  • Constant – respond to verbal and written requests/instructions from manager, clients, co-workers, and vendors.
  • On occasion - visit different worksites (i.e. activity vendors, venues, hotels, etc).
