The role manages academic appointments and dossiers, recruitment processes, payroll actions, and credentialing, while supporting faculty, leadership and staff on a wide range of personnel matters with strict confidentiality.

Qualifications

  • Bachelor’s Degree in Human Resources or equivalent required.
  • 4–6 years of subject matter expertise in academic personnel.
  • Strong knowledge of UC-wide Academic Personnel Policies (APM) and bargaining contracts.
  • Familiarity with department bylaws and compensation plans.
  • Ability to handle sensitive information with confidentiality.

Responsibilities

  • Manage academic appointments, advancements, dossiers, reviews, and related actions.
  • Oversee academic recruitments, search waivers, exemptions, and related processes.
  • Oversee payroll, salary actions, time reporting, UCPath transactions, onboarding and separations.
  • Advise faculty and managers on policies, benefits, and leave.
  • Coordinate credentialing, visas, and compliance for academic personnel.
  • Provide training and support to faculty, leadership, and staff.

Primary Duties and Responsibilities

The Academic Personnel Analyst 3 manages academic personnel activities for the Department of Medicine, VA Division. Serving as a subject matter expert, the incumbent provides guidance on academic personnel policies and procedures, ensuring compliance with UC, UCLA, DGSOM, and departmental requirements while supporting faculty, leadership, and staff on a wide range of personnel matters. Key Responsibilities:

  • Academic Personnel & Dossiers: Manage academic appointments, advancements, dossiers, academic reviews, and related personnel actions.
  • Academic Recruitment: Manage academic recruitments, search waivers, exemptions, and related recruitment processes.
  • Payroll & Personnel Administration: Oversee academic payroll, salary actions, time reporting, UCPath transactions, onboarding, and separations.
  • Employee Relations, Benefits & Leave: Advise faculty and managers on personnel policies, labor relations, benefits, leave administration, and related employee matters.
  • Credentialing, Visas & Compliance: Coordinate credentialing, privileging, visas, special licensing, outside professional activities, and academic personnel compliance.
  • Departmental Support: Serve as a subject matter expert to faculty, leadership, and staff while providing training and supporting departmental initiatives and process improvements.
Salary: $6,725 - $14,041.67 monthly

Required:

  • Bachelor’s Degree in Human Resources or equivalent combination of education and experience
  • 4-6 years of subject matter expertise
  • Thorough knowledge of UC-wide Academic Personnel Policies (APM) and bargaining union contracts, and the procedures and practices that govern academic personnel administration.
  • Thorough knowledge of local, i.e. DGSOM and/or department, voting and compensation plan bylaws, and the procedures and practices that govern academic personnel administration.
  • Thorough knowledge of Compensation Plan bylaws including Outside Professional Activities and the procedures and practices that govern these.
  • Adept in handling sensitive information and / or situations and maintaining strict confidentiality.
  • Adept in meeting deadlines despite frequent interruptions.
  • Excellent oral and written communication skills to effectively relay and obtain information, explain policies and procedures, and establish and maintain cooperative working relationships with diverse audiences, including faculty, staff, and students.
  • Thorough knowledge of benefits and retirement programs, preferably in a university environment;
  • Ability to support VA Faculty/Staff by accessing documents on VAs servers via additional appointment. - “VA Without Compensation (WOC)".
