Our client, a nationally recognized retirement plan administration firm, is seeking an experienced 403(b) Account Manager to join its remote team. This opportunity is ideal for an experienced retirement plan professional with a strong background administering 403(b) retirement plans who enjoys serving as a trusted advisor to plan sponsors, financial advisors, and business partners.
The successful candidate will manage a portfolio of retirement plan clients while providing comprehensive annual administration, compliance consulting, regulatory guidance, and exceptional client service.
Position Summary
The 403(b) Account Manager serves as the primary relationship manager for an assigned portfolio of retirement plan clients, ensuring plans remain compliant with ERISA, IRS, and Department of Labor regulations while delivering timely, accurate, and consultative service.
This role is responsible for annual administration, compliance testing, government filings, plan consulting, operational compliance, and coordinating with plan sponsors, advisors, auditors, payroll providers, and internal departments throughout the plan year.
Key Responsibilities
- Serve as the primary point of contact for assigned retirement plan clients, financial advisors, and business partners.
- Build and maintain strong client relationships through responsive communication and exceptional customer service.
- Administer qualified retirement plans with a primary emphasis on 403(b) plans.
- Interpret plan documents and explain plan provisions to clients while identifying opportunities for operational improvements.
- Analyze participant census data to determine eligibility and ensure compliance with plan provisions.
- Calculate employer contributions based on plan specifications and funding requirements.
- Perform annual compliance testing, including ADP/ACP, 402(g), 410(b), 415, 416, and other applicable nondiscrimination testing.
- Review testing results with clients and recommend appropriate correction strategies when necessary.
- Prepare and review government filings, including Forms 5500, 5558, 5330, and 8955.
- Coordinate annual audit activities and communicate directly with independent auditors.
- Monitor required minimum distributions (RMDs) and ensure participant notifications are completed.
- Manage amendment requests and coordinate document updates with legal and internal teams.
- Lead client and advisor meetings while presenting technical retirement plan information in a clear and professional manner.
- Conduct year-end compliance reviews, including forfeiture allocations, source transfers, and operational cleanup.
- Identify operational failures and recommend corrective actions utilizing IRS correction programs, including Self-Correction Program (SCP), Voluntary Correction Program (VCP), and Delinquent Filer Voluntary Compliance Program (DFVCP).
- Support retirement plan conversions, onboarding activities, and document review for new clients.
- Partner with payroll departments to ensure participant eligibility and payroll administration are properly maintained.
- Review employee deferral remittance timing and advise clients regarding late deposit corrections and reporting requirements.
- Identify missed deferral opportunities and guide clients through appropriate corrective actions.
- Assist clients with retirement plan terminations and related compliance requirements.
- Partner with internal administration teams to ensure client deadlines and regulatory filing deadlines are consistently achieved.
Qualifications
- Bachelor's degree preferred or equivalent retirement plan administration experience.
- Seven or more years of retirement plan administration experience preferred.
- Minimum of three years serving in an Account Manager or similar client-facing retirement plan administration role.
- Demonstrated expertise administering qualified retirement plans, particularly 403(b) plans.
- Thorough understanding of ERISA, IRS, and Department of Labor regulations governing qualified retirement plans.
- Excellent verbal, written, and interpersonal communication skills.
- Strong analytical, mathematical, organizational, and problem-solving abilities.
- Ability to independently manage multiple client relationships while consistently meeting deadlines.
