Job summary

NHS Dumfries and Galloway is seeking a highly organised Business Support Officer to join the Corporate Services Directorate. You will provide administrative, secretarial, and business support across Corporate Services and Public Health Directorates, helping ensure smooth operation of services that support health and wellbeing.

The role requires flexibility to cover during absences, including undertaking aspects of the Senior Business Support Officer role when needed.

Qualifications

  • Experience providing admin or business support in a similar environment.
  • Willingness to learn NHS systems, policies and procedures.

Responsibilities

  • Organising and supporting meetings, working groups, and workshops, including minute taking and action tracking
  • Managing records, filing systems, version control, and document archiving
  • Drafting and formatting correspondence, reports, and presentations
  • Managing inboxes (including acting as a proxy) and acting as a professional point of contact for internal and external stakeholders
  • Supporting performance management, risk management, and audit processes
  • Maintaining digital workspaces including Microsoft Teams, SharePoint, and shared drives
  • Inputting, maintaining, and extracting data from business systems and databases
  • Assisting with purchasing, invoicing, and stock control in line with Standing Financial Instructions
  • Providing HR-related administrative support such as absence recording and arranging meetings
  • Supporting the planning and coordination of events, training sessions, and development days

Job description

We are seeking a highly organised and digitally confident Business Support Officer to join the Corporate Services Directorate at NHS Dumfries & Galloway.

Reporting to the Business Administration Manager, you will play a vital role in supporting Corporate Services and Public Health Directorates by providing high quality administrative, secretarial, and business support. You will work collaboratively across a range of teams and functions, helping to ensure the smooth and effective operation of services that support health and wellbeing across Dumfries and Galloway.

This role also requires flexibility to provide cross cover during periods of absence, including undertaking aspects of the Senior Business Support Officer role when required.

Preferred Hours Are
  • Monday 9-5pm
  • Thursday 9-5pm
  • Friday 9-5pm
  • Remaining hours could be worked flexibly
What You’ll Do
  • Organising and supporting meetings, working groups, and workshops, including minute taking and action tracking

About You

You will be an organised, proactive individual with strong communication skills and excellent attention to detail. You will be comfortable working in a fast paced environment, managing competing priorities, and handling sensitive or confidential information with discretion.

You Will Have
  • SVQ Level 3 in Business & Administration (or equivalent qualification or demonstrable experience)
  • Strong digital skills, with confidence using Microsoft 365, including Teams and SharePoint
  • Excellent organisational and time management skills
  • The ability to work independently while contributing effectively as part of a wider team
  • Experience of providing high quality administrative or business support
  • Awareness of, or willingness to learn, NHS systems, policies, and procedures
  • Experience of working in a healthcare, public sector, or large complex organisation would be advantageous.
