We are looking for a highly organized, detail-oriented, and reliable Finance & Operations Specialist to support the day-to-day financial, administrative, and operational activities of a private family office.
The successful candidate will be responsible for ensuring that recurring financial and administrative matters are followed up accurately and on time, maintaining proper records and documentation, coordinating with banks and other external institutions, and preparing routine financial and operational reports.
This role does not require advanced financial analysis or investment management experience. However, the candidate should be comfortable working with financial information, understand basic financial terminology, and be able to communicate professionally with banks, financial institutions, advisors, and other service providers.
A very strong command of written and spoken English is essential for this position.
Key Responsibilities
- Obtain and organize account statements, portfolio statements, transaction records, and other relevant documentation from banks, brokerage firms, asset managers, and other financial institutions.
- Maintain accurate and up-to-date records of bank accounts, investment accounts, financial documents, and related information.
- Monitor recurring financial and administrative matters and ensure that required actions are completed within the relevant deadlines.
- Maintain and regularly update follow-up schedules, action lists, payment calendars, and control sheets.
- Follow up on payments, collections, renewals, insurance policies, subscriptions, contracts, taxes, fees, and other recurring obligations.
- Coordinate routine operational matters with banks, financial institutions, accounting firms, tax advisors, insurance companies, legal advisors, and other external service providers.
- Conduct routine correspondence and follow-up with financial institutions in both Turkish and English.
- Review incoming financial and administrative documents for completeness and organize them appropriately.
- Prepare periodic management summaries and simple financial or operational reports as requested.
- Maintain an organized digital and, where necessary, physical filing system for bank statements, contracts, invoices, receipts, insurance policies, tax documents, and other records.
- Keep track of outstanding matters and follow them through to completion without requiring repeated reminders.
- Provide general administrative and operational support to the family office management when required.
- Handle confidential financial and personal information with the highest level of discretion.
Qualifications
- Bachelor’s degree, preferably in Business Administration, Economics, Finance, Banking, Accounting, or a related field.
- Preferably 5 years of relevant professional experience in banking operations, finance, accounting, financial administration, executive support, private office operations, or a similar position.
- Familiarity with basic banking, finance, accounting, and investment terminology.
- Ability to understand and work with bank statements, investment account statements, invoices, receipts, payment records, and similar financial documents.
- Good command of Microsoft Excel, including formulas, filtering, sorting, data organization, and preparation of basic reports.
- Strong proficiency in Microsoft Office applications and digital document management.
- Excellent written and spoken English is required.
- Ability to conduct professional correspondence and communicate confidently with international financial institutions and service providers in English.
