Job summary

Job description
Job Responsibilities
  • Managing events in the business, ensuring everything runs smoothly and successfully.
  • Supporting the PMO Project Managers in enhancing project communications to ensure sustainable change embedding.
  • Responsible for supervising and executing the business’ external client events, conferences or offsites, etc as defined under the PMO event management scope.
  • Accountable for the project management of an event from conception to execution.
  • Proactively drive conversations with senior leaders in the business to develop and agree themes, objectives, agenda, targeted attendees for the events.
  • Responsible for the engagement with external vendors and suppliers; sourcing, negotiating, contracting and event delivery.
  • Responsible to track the budget provided for the event.
  • Manage the selection of the event venue and external event organiser (if required) together with the sponsor of the event.
  • Manage the invitations and track the attendance for the event.
  • Manage the collateral and merchandise at events in alignment with MUFG’s corporate brand identity and organisational values.
  • Support the project managers in their programme/project communications, including driving ideation on the best tools to share best practices with the wider GCIB.
  • Support the PMO’s project managers in driving analysis, data collection or specified deliverables of their projects.
Job Requirements
  • Minimum 7 years work experience in events management, preferably in the Financial Services sector.
  • Proven experience in running in person and hybrid events across the region.
  • Good knowledge of AV and production.
  • Ability to multi-task and manage ever changing and often conflicting priorities.
  • Ability to work with a high level of motivation and initiative.
  • Experience in managing budgets and cost control.
  • Experience in managing and evaluating suppliers to ensure quality and value for money.
  • Excellent written and verbal communication skills, ability to communicate effectively at all levels.
  • Detail conscious, ensuring reliability at all times, and fully committed to producing high quality and professional work in a team environment.
  • Ability to engage with people across cultural backgrounds, business disciplines and seniority levels.
  • Strong presentation and communications skills.
  • Willingness to travel across the region to deliver events.
  • Keen interest in learning about / gaining experience in project implementation and change management as part of transformation initiatives being undertaken by the bank.
