Job summary

SINGAPORE GLOBAL TRUST PTE. LTD. is seeking a Trust Administration & Compliance Executive in Singapore to support day-to-day trust administration, client onboarding, and regulatory compliance activities.

The role involves handling trust assets, documents, and collaboration with banks, managers, and legal partners. The candidate should have 1–3 years of relevant experience in trust services or related fields, with strong attention to detail and solid MS Office skills.

Qualifications

  • Diploma or degree in Law, Finance, or related discipline.
  • 1–3 years of relevant experience in a trust company, corporate services provider, fund administrator, family office, bank, law firm or financial institution.
  • Experience in trust administration, KYC/CDD, corporate administration, transaction processing or regulatory compliance advantageous.
  • Fresh graduates with relevant internships and strong administrative or compliance experience may be considered.
  • Proficiency in Microsoft Word, Excel, PowerPoint and Outlook.

Responsibilities

  • Support day-to-day administration of trusts and their underlying companies or investment holding entities.
  • Maintain complete and accurate trust, company and client records.
  • Prepare draft trustee and directors' resolutions, minutes, written consents and other routine administrative documents for review.
  • Assist with trust distributions, settlements, payments, investments, asset transfers and other trust-related transactions.
  • Ensure approvals and supporting documents are obtained before processing transactions.
  • Assist with bank, brokerage and investment account opening and maintenance.
  • Liaise with clients, banks, investment managers, corporate secretaries, accountants, lawyers and other professionals.
  • Maintain trust administration calendars and deadlines.
  • Monitor outstanding matters and follow up to ensure timely completion.
  • Assist with preparation of trust asset summaries and client reports.

Trust Administration & Compliance Executive

Department: Trust Administration and Compliance
Reports To: Head of Trust Administration
Salary: S$3,500 to S$4,500 per month, commensurate with experience

Job Overview

We are seeking a detail-oriented and proactive Trust Administration & Compliance Executive to support the company's trust administration and compliance functions.

The successful candidate will assist with the day-to-day administration of trusts and their underlying entities, client onboarding, compliance reviews, regulatory reporting and transaction processing.

This role is suitable for someone with relevant experience in trust services, corporate services, compliance, legal, fund administration, banking or financial services who is looking to develop broader experience in the trust and fiduciary services industry.

Key Responsibilities
Trust Administration
  • Support the day-to-day administration of trusts and their underlying companies or investment holding entities.

  • Maintain complete and accurate trust, company and client records.

  • Prepare draft trustee and directors' resolutions, minutes, written consents and other routine administrative documents for review.

  • Assist with trust distributions, settlements, payments, investments, asset transfers and other trust-related transactions.

  • Ensure that the relevant approvals and supporting documents are obtained before transactions are processed.

  • Assist with bank, brokerage and investment account opening and maintenance.

  • Liaise with clients, banks, investment managers, corporate secretaries, accountants, lawyers and other professional service providers.

  • Maintain trust administration calendars, including review dates, filing deadlines, fee dates and other key obligations.

  • Monitor outstanding matters and follow up with the relevant parties to ensure timely completion.

  • Assist with the preparation of trust asset summaries, client reports and information required for trust accounting.

Compliance
  • Assist with client onboarding and the collection and review of Know Your Customer and Customer Due Diligence documentation.

  • Conduct first-level sanctions, politically exposed person and adverse-media screening.

  • Assist with source-of-wealth and source-of-funds reviews.

  • Identify missing, expired or inconsistent information and follow up with clients or relevant parties.

  • Support periodic client reviews and the updating of client risk assessments.

  • Maintain accurate compliance records, registers, checklists and audit trails.

  • Assist in reviewing transactions and activities against the client's profile and the purpose of the trust.

  • Escalate unusual transactions, compliance concerns and other potential red flags to senior management.

  • Assist with updating compliance policies, procedures, manuals and internal controls.

  • Support internal audits, regulatory inspections and remediation exercises.

  • Assist with the preparation of management compliance reports and regulatory submissions.

Regulatory Reporting and General Support
  • Assist with FATCA and CRS classification, documentation and reporting.

  • Support the preparation of regulatory surveys, returns and information requests.

  • Maintain regulatory reporting and compliance calendars.

  • Prepare correspondence, checklists, trackers, spreadsheets and status reports.

  • Support process-improvement initiatives within the trust administration and compliance functions.

  • Perform other related duties assigned by the Head of Trust Administration.

Qualifications and Experience
  • Diploma or degree in Law, Legal Studies, Finance, Accounting, Business Administration, Banking, Compliance or a related discipline.

  • At least one to three years of relevant experience in a trust company, corporate services provider, fund administrator, family office, bank, law firm or financial institution.

  • Experience in trust administration, KYC/CDD, corporate administration, transaction processing or regulatory compliance would be advantageous.

  • Fresh graduates with relevant internships and strong administrative or compliance experience may also be considered.

  • Proficiency in Microsoft Word, Excel, PowerPoint and Outlook.
