Responsibilities

  • Check-in and room management: arrange check-ins, check-outs, and allocations; guide students on hostel rules and facilities.

  • Communication with parents and third parties: respond to inquiries and report important matters to management.
  • Safety management: conduct checks of common areas and ensure CCTV/access control systems function properly.
  • Maintenance and facilities: record issues and coordinate with vendors for timely resolution.
  • Emergency handling: manage illnesses, disputes and incidents and contact relevant parties as needed.
  • General hostel operations: assist with records and administrative duties.

Job description

Student Hostel Officer

We are looking for a responsible, caring and service-oriented Student Hostel Officer with excellent communication and interpersonal skills to join our team. This role involves more than managing the day-to-day operations and safety of a student hostel. A key part of the position is communicating effectively with students, parents, education agents and other relevant parties, while supporting students' daily needs and maintaining appropriate hostel rules, discipline and a positive living environment. We are looking for someone who is emotionally intelligent, patient, attentive, approachable and able to communicate extremely well , while maintaining the right balance between customer service and student management.

Key Responsibilities
  • Student Check-in and Room Management

    Arrange student check-ins, check-outs and room allocations;

    Help students familiarise themselves with the hostel environment, facilities and house rules;

    Coordinate room changes and other accommodation arrangements when required.

  • Student Management and Welfare

    Maintain regular communication with students and understand their day-to-day needs and concerns;

    Provide appropriate assistance and support when students encounter difficulties;

    Build positive relationships with students while maintaining proper hostel discipline and order;

    Communicate and manage breaches of hostel rules in a calm, reasonable and effective manner.

  • Communication with Parents and Third Parties

    Maintain effective and professional communication with parents, education agents and other relevant parties;

    Respond promptly and professionally to accommodation-related enquiries and feedback;

    Handle concerns and complaints appropriately and report important matters to management in a timely manner.

  • Safety Management

    Conduct regular checks of hostel common areas and safety facilities;

    Ensure that CCTV systems, access control systems and other relevant facilities are functioning properly;

    Monitor unusual situations or activities within the hostel and take appropriate action when necessary.

  • Cleanliness and Environment Management

    Monitor the cleanliness and hygiene of hostel common areas;

    Coordinate with cleaning staff to ensure that the hostel remains clean, comfortable and well maintained;

    Conduct regular checks on rooms, common areas and shared facilities.

  • Maintenance and Facilities Management

    Record and follow up promptly on maintenance and repair issues;

    Coordinate with maintenance personnel and relevant vendors to ensure that issues are resolved in a timely manner.

  • Emergency and Incident Handling

    Handle situations such as student illness, disputes, safety incidents and other emergencies;

    Contact parents, schools, management or relevant parties when necessary;

    Maintain proper incident records and follow up on cases until they are resolved.

  • General Hostel Operations

    Assist with accommodation records, student information and basic administrative duties;

    Support other day-to-day hostel operational matters as required.

Requirements
  • Excellent communication and interpersonal skills are essential;
  • Good spoken Mandarin and basic English communication skills;
  • High emotional intelligence (EQ), with the ability to communicate effectively with young students, listen carefully and understand different perspectives;
  • Strong customer service mindset, with the ability to communicate patiently and professionally with students, parents and education agents;
  • Responsible, caring, patient, attentive and dependable;
  • Able to maintain appropriate boundaries and rules without being unnecessarily harsh or confrontational;
  • Able to strike a good balance between serving students as customers and managing them as hostel residents ;
  • Calm and mature when handling difficult situations, with good judgement and problem-solving skills;
  • Able to manage student disputes, complaints and unexpected situations appropriately;
  • Able to work well as part of a team and report important matters to management promptly;
  • Basic computer skills , such as using WhatsApp, email, Microsoft Word/Excel and simple online systems;
  • Previous experience in student services, hostel management, education, customer service, hotels, serviced apartments or related fields will be an advantage.
Working Hours

1:00 PM - 10:00 PM 5 working days per week, with 2 rest days per week: 1 rest day on a weekend; 1 rest day on a weekday. Rest days will be arranged according to the hostel's operational requirements.

Salary

S$2,300 - S$2,500 per month Salary will be commensurate with relevant experience and capabilities.
