Job summary

Certis Singapore invites applications for a Procurement Administrator who will support purchasing processes, handle requisitions and purchase orders, manage supplier documentation, and assist with contract records and routine audits.

Requirements include a Diploma in Business Administration, Supply Chain Management or related field, 2–3 years of procurement/admin experience, proficiency with ERP systems and MS Office, strong communication and attention to detail.

Qualifications

  • Diploma in Business Administration, Supply Chain Management, Procurement, Logistics or related discipline.
  • 2–3 years of administrative, procurement, purchasing, or supply chain support experience.
  • Experience with ERP or procurement systems (e.g., SAP, Ariba, Coupa, Oracle) is advantageous.

Responsibilities

  • Process purchase requisitions (PRs), purchase orders (POs), and other procurement-related documentation in accordance with established policies.
  • Support quotation and tender exercises by coordinating documentation, submissions, and administrative requirements.
  • Maintain procurement records, contracts, and supplier documentation in electronic and physical filing systems.
  • Track procurement requests and follow up with stakeholders to ensure timely completion of procurement activities.
  • Monitor contract expiry dates and support contract renewal processes.
  • Provide user support for procurement systems and e-procurement platforms.

Duties & Responsibilities

Procurement Administration

  • Process purchase requisitions (PRs), purchase orders (POs), and other procurement-related documentation in accordance with established procurement policies and procedures.
  • Support quotation and tender exercises by coordinating documentation, submissions, and administrative requirements.
  • Maintain procurement records, contracts, and supplier documentation in both electronic and physical filing systems.
  • Track procurement requests and follow up with stakeholders to ensure timely completion of procurement activities.
  • Monitor contract expiry dates and support contract renewal processes.

System and Data Administration

  • Provide user support for procurement systems and e-procurement platforms.
  • Ensure accurate data entry and maintenance of procurement records in relevant systems.

Compliance and Governance

  • Ensure procurement activities are conducted in accordance with company procurement policies and delegated approval authorities.
  • Verify completeness of supporting documents before processing procurement transactions.
  • Support internal and external audits by preparing procurement records and documentation.
  • Maintain confidentiality and integrity of procurement information.

Stakeholder Support

  • Serve as the first point of contact for routine procurement enquiries.
  • Coordinate with business units on procurement requirements and documentation.
  • Support department initiatives, projects, and process improvement activities.
Skills & Experience

Educational Requirements

  • Diploma in Business Administration, Supply Chain Management, Procurement, Logistics, or a related discipline.

Experience

  • Minimum 2–3 years of administrative, procurement, purchasing, or supply chain support experience.
    Experience with ERP or procurement systems (e.g., SAP, Ariba, Coupa, Oracle, or equivalent) is advantageous.
  • Experience in contract administration and vendor management support would be beneficial.
  • Proficient in Microsoft Office applications, particularly Excel, Word, and PowerPoint.
  • Familiarity with procurement and ERP systems.
  • Good understanding of procurement processes and documentation requirements.
  • Ability to prepare reports and maintain accurate records.
  • Strong attention to detail and accuracy.
  • Good organizational and time management skills.
  • Effective communication and interpersonal skills.
  • Ability to manage multiple tasks and priorities.
  • Customer-oriented mindset and teamwork.
  • High level of integrity and confidentiality.
