We are seeking a meticulous, organised and proactive Senior / Associate Executive to provide administrative and operational support for Allied Health & Pharmacy (AH&P) Education programmes. The incumbent will support student placements, continuing professional education activities, data management, financial and funding-related administration, reporting functions, and stakeholder engagement within the Education Development team.
The role requires a strong attention to detail and the ability to manage large datasets, reconcile information across multiple sources, and ensure the accuracy of education, placement and funding records. The incumbent will work closely with schools, MOH, SingHealth, CGH Finance and internal stakeholders to support the delivery of AH&P education initiatives and reporting requirements.
Coordinate and administer AH&P education programmes, events, and student clinical placements
Manage programme registrations, documentation, billing, claims, and funding-related administration
Maintain accurate databases and records for student placements, programme attendance, participant feedback, and funding information
Perform data reconciliation and ensure the accuracy and completeness of placement, training and financial records
Generate statistical, financial, utilisation, and training reports for management and operational needs
Monitor and track placement hours, attendance records, programme outcomes, and funding-related data
Support audit and accreditation requirements through compliance with policies and standard operating procedures
Liaise with internal and external stakeholders to ensure the smooth delivery of education and training programmes
Provide administrative and operational support for departmental initiatives and continuing professional education (CPE) activities
Support process improvement initiatives to enhance data integrity, reporting accuracy, and operational efficiency
Diploma holder with at least 4 years of relevant administrative experience, preferably in healthcare education, training administration, finance administration, accounting, operations support, or data management
Strong organisational and coordination skills with the ability to manage multiple priorities and deadlines
Strong communication and interpersonal skills
Proficient in Microsoft Office applications, particularly Microsoft Excel
Able to work with large datasets and perform data validation, reconciliation, analysis, and report preparation
Knowledge of Excel functions such as PivotTables, VLOOKUP, SUMIFS, and data validation will be an advantage
Strong numerical ability and a high level of accuracy and attention to detail, especially when handling placement statistics, financial information, and funding-related data
Able to work effectively with diverse stakeholders in a fast-paced environment.
