Job summary

GBS (SINGAPORE) PTE. LTD. is seeking an Order Fulfilment Executive to support end-to-end supply chain activities across sales, procurement and fulfilment.

You will act as the main contact for customers, prepare quotations, process orders, and coordinate with internal teams to meet delivery timelines. You will evaluate suppliers, negotiate terms, place POs, and ensure accurate records, while maintaining high service levels and timely customer updates.

Responsibilities

• Respond to customer inquiries and provide accurate product and order details.
• Prepare quotations and process sales orders with a focus on small to mid-sized accounts.
• Maintain long-term customer relationships and identify upsell or repeat business opportunities.
• Liaise with internal teams (Production, QA, Logistics) to align on delivery timelines and order feasibility.
• Maintain ongoing relationships with existing customers.
• Identify and act on opportunities for repeat business and upselling.
• Evaluate suppliers based on quality, cost and reliability.
• Request, compare, and analyse vendor quotations.
• Negotiate pricing, terms, and delivery schedules to secure optimal value.
• Place purchase orders and monitor delivery schedules.
• Maintain accurate procurement records and supplier contracts.
• Ensure goods and services meet required specifications, cost, quality, timelines.
• Collaborate with internal teams to ensure material readiness for customer orders.
• Acts as the Point of Contact (PIC) for GB part creation and maintain related documentation
• Support and manage the Approved Vendor List (AVL), including vendor audits, qualifications and compliance requirements
• Process and manage customer orders using Autocount Accounting Systems.
• Coordinate with Logistics, Production, and QA/Compliance teams to ensure timely delivery.
• Monitor order status and proactively update customers.
• Handle orders, returns, and issue resolutions.
• Acts as the primary contact for customer inquiries and delivery updates.
• Collaborate with Sales and QA teams to align on service expectations and resolve any operational issues.
• Maintain high levels of customer satisfaction through effective communication and service follow-up.

About the role

The Order fulfillment plays a key role in supporting end-to-end supply chain operations across Inside Sales, Procurement, and Order Fulfilment functions. This role ensures the efficient flow of goods, information and communication between internal teams and external stakeholders to meet customer expectations, strengthen supplier relationships, and ensure timely and accurate delivery performance.

1. Sales Operation (50%)

Main contact for customers, handling sales inquiries, quotations, and order-related matters

Key Responsibilities:

2. Procurement (25%)

Handles purchasing and negotiation of goods and services, focusing on cost efficiency, supplier management, and timely, quality delivery.
