Responsibilities

• Assist contract manager with contract administration and cost management.
• Perform pre-tender activities and manage tender drawings/documents.
• Request quotations and track submissions from trades.
• Prepare quantities from BQ and detailed Excel breakdown.
• Review tender pricing, project schedule, and margins.
• Attend tender interviews and prepare replies with manager.
• Submit progress claims monthly and monitor payment certificates.
• Assist with project kick-off and coordination with consultants.
• Coordinate insurance, licenses, bonds, and pre-construction surveys.

Job Descriptions

• Assists the contract manager in providing effective support to project management teams by ensuring that the contracts are administered in accordance with contractual obligations and effective cost management strategies;
• Carries out pre-tender activities in the award of trade packages by conducting site show round and ensuring the completeness of tender drawings/documents;
• Seeks clarifications with the respective consultants regarding discrepancies in the scope of work and drawings; replace all addendum drawings and BQ pages after clarifications;
• Seeks quotation from the respective trades and follows up on submission of quotations;
• Takes up quantity as per BQ and the detailed breakdown in the Excel sheet;
• Reviews tender pricing with contract manager; understands the project schedule, profit margin and goodwill discount; attends tender interviews; goes through tender reply with contract manager and prepares reply accordingly;
• Reviews letter of appointments, contract drawings and documents and to highlight any deviation from the tender;
• Attends project kick off meetings and brief the scope of works with project team and management;
• Makes arrangements for insurance/factory licence/bond/pre-construction survey, fit out deposit if required;
• Follows up on making arrangements for sample submission;
• Attends consultant meeting with Project Manager;
• Negotiates with the respective supplier and appoints the specialist sub-contractors based on trade;
• Ensures the timely submission of VO cost on day to day or weekly basis and communicates with the project manager; timely submission of monthly progress claims; final account closing;
• Submits the progress claim on monthly basis;
• Follows up effectively on payment certificate and payment with the clients;
• Certifies sub-contractors claims based on site progress and quantity;
• Requests for AI/EI with the respective consultants;
• Attends internal and external project closure meetings with consultants;
• Submits the warranty based on contractual terms;
• Ensures PM’s submission of as built drawings and OM manual;
• Follows through with the landlord on refund of fit out deposit;
• Any other duties as may be assigned.
