Job summary

MATRIX SWITCHGEAR DESIGN PTE LTD is seeking a material procurement and inventory coordinator to manage incoming deliveries, verify against POs/DOs, and issue materials to Production. The role emphasizes maintaining accurate inventory records and ensuring stock levels are updated promptly.

Responsibilities include sourcing suppliers, monitoring lead times, maintaining procurement records, and coordinating with customers and internal teams to provide timely project updates and audit-ready

Responsibilities

• Receive, inspect, and verify incoming materials and deliveries against Purchase Orders and Delivery Orders.
• Issue materials to the Production Department according to approved material requests.
• Maintain accurate inventory records and ensure stock balances are updated promptly.
• Conduct regular stock counts and annual stock takes.
• Monitor stock levels and notify the Purchasing Department when replenishment is required.
• Source suppliers and obtain quotations for materials and services.
• Monitor supplier lead times to ensure materials arrive according to project requirements.
• Coordinate with suppliers regarding shortages, incorrect deliveries, damaged goods, or quality issues.
• Maintain purchasing records, supplier information, and procurement documentation.
• Assist in maintaining material traceability and project-related documentation.
• Coordinate with customers to provide updates on project status, material availability, delivery schedules, and expected completion dates.
• Follow up with internal departments to obtain accurate project progress information and communicate updates to customers in a timely manner.
• Coordinate customer requirements, delivery arrangements, and project-related matters with the relevant internal teams.
• Monitor project schedules and highlight potential delays, material shortages, or procurement issues to Management and relevant departments.
• Ensure all purchasing, inventory, delivery, and project coordination records are properly filed and readily available for audit purposes.
• Ensure timely follow-up on outstanding purchase orders, deliveries, customer requests, and project-related actions.
