Job summary

RecruitFirst Pte Ltd in Singapore is seeking an experienced Executive Assistant (Customer Applications) to produce high-quality presentations and visual materials for a fast-paced, global team.

You will enhance slides, collaborate with the graphics group in a 24/7 department, and support senior clients by translating concepts into compelling visuals. A Bachelor’s degree and 4+ years in creative services, plus advanced Adobe CC and MS Office skills, are required.

Qualifications

• Bachelor’s degree or university degree.
• At least 4 years in creative services within corporate/client service, ideally in financial sector.
• Advanced knowledge of industry-standard graphic design applications.
• Experience proofreading presentations.
• Knowledge of external print processes.
• Advanced experience with Adobe Creative Cloud apps (Illustrator, Photoshop, InDesign, Acrobat).
• Advanced experience with Microsoft Office (PowerPoint, Excel, Word).
• Knowledge of GenAI usage in Firefly and Adobe CC apps.
• Fluent English communication (written and verbal).
• Ability to work unsupervised, manage priorities, stay motivated, and be detail oriented.

Responsibilities

• Produce high-quality presentations in various formats (designs, layouts, video/photo editing, data visuals).
• Enhance slides and presentations into visually engaging formats.
• Work within the graphics and presentations team in a busy 24/7 department producing pitch books and marketing collateral.
• Collaborate with Project Coordinators and/or Creative Director on design projects.
• Assist with pitch book production using MS Office; provide conceptual/visual solutions.
• Communicate with senior-level clients to interpret concepts visually and adapt to different requirements.
• Ensure adherence to style guidelines and 100% accuracy against briefs.
• Organize work to meet deadlines and raise creative ideas aligned with business objectives.
• Ensure smooth handover with Presentations colleagues and design teams; escalate issues promptly.
• Record client instructions for designers and brief global teams as needed.

What requirements you'll need to be eligible

• Bachelor’s degree/University degree
• At least 4 years in the field of creative services in a corporate, client service environment; ideally in a financial institution (Investment Banking / Asset Management / financial industry or similar experience)
• Advanced knowledge of industry standard graphic design applications
• Experience of proofreading presentations
• Knowledge of external print processes
• Advanced knowledge (work experience of at least 4 years) of Adobe Creative Cloud design apps (i.e., Illustrator, Photoshop, InDesign, Acrobat Professional)
• Advanced knowledge (work experience of at least 4 years) of Microsoft Office (PowerPoint, Excel and Word)
• Understanding of foundational GenAI usage/application in Firefly and Adobe CC apps
• Proficiency in English communication (written and verbal) skills (Must)

What you'll be doing on the job

• Produce high-quality presentations in a range of formats including conceptual designs, layout designs, video and photo editing, data visualization, graphs, charts, infographics, illustrations, icons, etc.
• Enhance slides and presentations into visually engaging format
• Working as part of the graphics and presentations team in a busy 24/7 department that produces pitch book materials and other marketing collateral.
• Work alongside Project Coordinators and/or Creative Director on design projects
• Assist with the production of pitch book materials using MS Office packages and offer conceptual and visual solutions to enhance client materials.
• Communicate with senior-level clients to understand their concepts and interpret them visually. Presentations are frequently created for multiple purposes, so the designer should be able to shift gears and adapt to different requirements.
• Ensure work adheres to all best practices and style guidelines, unless otherwise specified and work toward 100% accuracy against style and brief.
• Organize work effectively to ensure deadlines are met
• Proactively raise creative ideas and emerging trends in line with the business objectives
• Ensure that a smooth handover occurs with Presentations colleagues, as well as design teams
• Escalate any staff or client issues in a timely manner
• Proactively engage with clients to take detailed specifications and work briefs and then ensure such instructions are recorded for global designers to use
• Record and summarize client instructions for designers and brief them on client requirements, if needed
