Job description

Personal Assistant to the CEO (Part-time)

Organisation: The Aroca Group
Location: Singapore; primarily remote, with occasional in-person working preferred
Hours: Approximately 10 hours per week, flexibly arranged
Remuneration: To be discussed, depending on experience and working arrangements (advertised rate is an approximate, pro-rated to 10 hours per week).

About the role

We are looking for an organised, resourceful, and dependable Personal Assistant to support the CEO across his business interests and ventures.

This is primarily a business support role, covering calendar and inbox management, meeting coordination, travel arrangements, expenses, and follow-ups. You will help keep commitments manageable, priorities clear, and outstanding matters moving forward.

The role would suit someone seeking part-time work who enjoys taking ownership, exercising sound judgement, and anticipating what needs to happen next.

Key responsibilities
  • Manage calendars and coordinate meetings across different businesses, contacts, and time zones.

  • Plan schedules realistically, allowing for travel time, preparation, and competing commitments.

  • Help manage inboxes and correspondence, flagging important matters and responding or coordinating follow-ups as agreed.

  • Research and arrange business travel, including flights, accommodation, transport, and itineraries.

  • Track actions, deadlines, and outstanding responses, following up with internal and external stakeholders.

  • Organise receipts, expenses, and related administrative records.

  • Assist with routine administrative tasks and occasional document formatting.

  • Handle confidential business and personal information with discretion.

What we are looking for
  • Strong organisation and prioritisation skills, with the judgement to recognise urgency and resolve scheduling conflicts.

  • A proactive approach: you can work from clear instructions while also spotting gaps, anticipating needs, and asking sensible questions.

  • Clear, professional written and spoken English, enabling effective communication internally and externally.

  • Confidence using Microsoft Outlook for email, calendar management, and meeting coordination.

  • Working knowledge of Word, Excel, and PowerPoint, including producing neatly formatted work.

  • Resourcefulness and a willingness to find answers when a task or tool is unfamiliar.

  • Reliability, attention to detail, and discretion.

  • Previous PA, executive support, or similar administrative experience is an advantage. We are also open to applicants who can demonstrate the necessary skills through other experience.

Working arrangements

The role is expected to involve approximately 10 hours of work per week. Hours can be distributed flexibly, with some days requiring more support than others, subject to mutual agreement between you and us.

We are looking for someone who can respond promptly during agreed business-hour availability windows. These arrangements will be agreed together to make the role practical for both sides.

Occasional messages may arrive outside business hours. Where reasonably practicable, a brief acknowledgement and an indication of when the request will be addressed would be appreciated; immediate completion would generally not be expected. Any urgent support or additional hours would be discussed and agreed.

The role can be performed primarily remotely. A willingness to work together in person once or twice a month is preferred, although applicants who cannot accommodate this will still be considered.

Opportunity to grow

There may be opportunities for the role to expand as business needs develop, including additional hours, support for other senior team members, or a broader general administration position.

This could suit someone who prefers part-time work today but may be interested in a larger role in the future. Any expansion would depend on business needs and mutual interest.

Eligibility

Applicants must reside in Singapore and possess the legal right to work in Singapore.
For the avoidance of doubt, no work visa sponsorship will be made for this role.
