Job summary

BP Quantum Advisory Private Limited in Singapore seeks an Operations Manager to run the day-to-day financial advisory firm's operations, covering client onboarding, documentation, policy processing, and vendor coordination.

This role requires 5+ years in operations, strong Excel skills, and the ability to implement compliant SOPs and AI-enabled processes in a startup-friendly environment.

Qualifications

• 5+ years of experience in operations, preferably in Financial Advisory, Insurance, Banking or Financial Services.
• Good understanding of FA operations and client onboarding.
• Familiarity with accounting/bookkeeping and Singapore statutory requirements (including CPF and payroll workflows).
• Experience managing external service vendors.
• Strong organisational, administrative and Excel skills.
• Detail-oriented, hands-on and able to work independently in a startup environment.

Responsibilities

• Manage FA operational processes, including client onboarding, documentation, applications, policy processing and follow-ups.
• Maintain accurate client, policy and operational records.
• Coordinate with insurers, product providers and other external parties.
• Support commission, incentive and adviser administration.
• Maintain and improve SOPs, workflows and operational controls.
• Coordinate compliance-related operational requirements with the Compliance function.
• Manage the external accounting service provider to ensure all accounting matters are in good order, such as: bookkeeping, bank reconciliation, payments, payroll/CPF, management accounts, etc.
• Monitor company expenses, invoices and basic financial controls.
• Handle office administrative matters, such as: facilities, supplies, vendors and employee administrative needs.
• Workhand-in-hand with IT to automate end-to-end operational processes utilizing Artificial Intelligence (AI) and digital tools.
